Internal Sales Administrator

Reflex Systems, part of the Reflex Group, is seeking an internal Sales Administrator for our Boston site.
Location: Boston, PE20 3PW
Position Type: Full-Time, Permanent
Shift Pattern: Monday to Friday 09:00-17:00
Role OverviewTo provide exceptional customer service and sales support by managing customer enquiries, processing orders, preparing quotations, and maintaining strong customer relationships. The role requires excellent communication skills, attention to detail, and a proactive approach to ensuring customer requirements are met accurately and efficiently.
Roles & Responsibilities- Process customer orders accurately and efficiently, ensuring all requirements and deadlines are met.
- Respond promptly to customer enquiries via telephone, email, and other communication channels.
- Create accurate customer quotations in line with company pricing and service requirements.
- Proactively follow up quotations to maximise conversion opportunities and generate sales.
- Deliver an outstanding customer experience through professional and responsive communication.
- Develop and maintain positive relationships with customers and internal departments.
- Act as an escalation point for customer queries, concerns, and service issues, ensuring prompt resolution.
- Liaise effectively with production, operations, and other internal teams to meet customer expectations.
- Maintain accurate customer records and documentation within company systems.
- Identify opportunities to improve customer satisfaction and operational efficiency.
- Support the wider sales and customer service team with administrative and commercial activities as required.
- Ensure compliance with company procedures, policies, and quality standards.
- Previous experience in a customer service, sales support, internal sales, or account management role.
- Excellent verbal and written communication skills.
- Strong telephone manner and confidence in speaking with customers.
- Proven ability to manage multiple tasks and prioritise workload effectively.
- High level of accuracy and attention to detail.
- Strong problem-solving skills and ability to handle customer issues professionally.
- Good IT skills, including experience using Microsoft Office and CRM/ERP systems.
- Ability to work both independently and as part of a team.
