Position DescriptionThe Facilities Administrative Coordinator will be based in the Boston Corporate office and will provide direct comprehensive support to the Director of Facilities & Maintenance on various tasks as assigned. You will interact with TCB team members and residents, communicate effectively, and maintain confidentiality. The role also serves as a member of the Risk & Safety and Sustainability Committees.
Essential Functions- Administrative and organizational management of due dates and reporting deadlines, including NSPIRE inspections and data uploads.
- Preparation and presentation of reports, statistical graphs, charts, meetings materials, and correspondence.
- Support the Director with facilities tracking and initiatives such as work order metrics, vendor set‑up procedures, building information database, and utility data compliance.
- Execute general clerical duties: photocopying, faxing, scanning, mailing, filing, and mail distribution.
- Respond to vendor emails for data analysis and reporting.
- Prepare and send Request for Proposals (RFP) for vendor bids and projects as needed.
- Track Project Manager role projects and deliverables with cost management.
- Set up new vendors for Facilities & Maintenance departments.
- Perform other duties as assigned.
- Excellent computer skills: MS Office, Adobe Pro, and PowerPoint.
- Ability to organize meetings, prepare agendas, keep minutes, and distribute notes.
- Capacity to manage multiple simultaneous tasks in a professional manner.
- Outstanding customer‑service skills for working with staff and vendors.
- Excellent interpersonal skills and ability to lead people to results.
- Proficiency in Microsoft Office applications for creating presentations, correspondence, and reports.
- Rapid learning of new software, processes, and information.
- Strong communication skills with all levels of management, staff, residents, and external contacts.
- Capability to work autonomously and as part of a team, and to lead small groups when needed.
- Trustworthy, ethical, reliable, and dependable.
- Prior experience providing Facilities & Maintenance administrative and project‑management support for a large portfolio.
- Affordable housing, property management, or real‑estate experience preferred.
- Demonstrated customer‑service and communication skills.
- Prefer 2 years of higher education (associate degree or equivalent).
