Administrative Coordinator – Web‑Based Education and E‑Learning

Position Summary

Provides complex administrative support in preparation and completion of all administrative duties and department projects. Responsible for all aspects of office operations including preparation of correspondence, maintaining office inventory, ordering supplies, responding to inquiries, triaging and routing calls, assisting with new hire processing, and coordinating departmental programs.

Essential Responsibilities / Duties
  • Generate, proofread, and edit correspondence for content and grammatical accuracy.
  • Assist employees and managers with managing the registration process in the Learning Management System (LMS).
  • Create, copy, and distribute flyers for upcoming classes and lectures.
  • Assist in maintaining the central calendar.
  • Coordinate reimbursement requests and track employee eligibility and submissions.
  • Coordinate departmental program‑related activities and special projects.
  • Respond to inquiries, triage and route phone calls to the appropriate individuals.
  • Maintain departmental files and databases.
  • Monitor and replenish office supplies and equipment; arrange repairs as needed.
  • Assist educators with copying and running print jobs.
  • Develop, maintain, and update departmental databases and spreadsheets.
  • Prepare computer‑generated reports summarizing departmental information.
  • Plan, organize, and coordinate departmental meetings and special events (reserve rooms, send invitations, track RSVPs).
  • Arrange catering and vendor payments for events; set up audiovisual equipment.
  • Produce and supply event materials and orientation packets.
  • Request IT access for new hires and travelers.
  • Assist with LMS assignments, reporting, and class setup.
  • Support annual conferences and nurse‑week activities.
  • Track continuing‑education reimbursements for staff and notify individuals upon reaching limits.
  • Set up and track purchase orders; process department invoices for payment.
  • Perform general logistics and support tasks to ensure smooth departmental operations.
Job Requirements
  • Associate’s Degree required;
    Bachelor’s Degree preferred.
  • Work onsite at the Boston campus Monday – Friday.
  • Excellent verbal and written English communication skills; strong grammatical and proofreading abilities.
  • Proficiency with Microsoft Office applications (Word, Excel, Access, PowerPoint, Outlook) and web browsers.
  • Excellent organizational skills, strong attention to detail, and effective time‑management.
  • Ability to work independently and exercise independent judgment.
  • Effective interpersonal skills to interact appropriately with all levels of staff and management.
  • Strong problem‑solving skills.
  • Proven ability to work with confidential information.
Compensation

$19.95 – $27.88. This range offers an estimate based on the minimum job qualifications.
