Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily office operations, streamline administrative processes, and enhance overall office efficiency. Duties
  • Manage front desk responsibilities by greeting visitors, answering multi-line phone systems with professionalism, and providing excellent customer service.
  • Handle incoming calls with proper phone etiquette, directing inquiries to appropriate departments or personnel.
  • Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other office software to maintain up-to-date records.
  • Organize and file documents efficiently, ensuring easy retrieval and secure storage of sensitive information.
  • Assist with calendar management and scheduling appointments or meetings for staff members.
  • Support bookkeeping activities using Quick Books or similar accounting software, including invoicing and expense tracking.
  • Conduct proofreading of correspondence, reports, and other documents to ensure clarity and accuracy.
  • Coordinate office supplies procurement and manage inventory levels to keep the office well-stocked.
  • Provide clerical support such as photocopying, faxing, mailing, and other administrative tasks as needed.
  • Support personal assistant duties when required, including managing travel arrangements or special projects.
  • Maintain a welcoming front desk environment by managing visitor check-ins and providing assistance with office navigation.
Skills
  • Proven experience in office management or administrative support roles with strong organizational skills.
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.
  • Familiarity with Quick Books for bookkeeping tasks is highly desirable.
  • Strong multi-line phone system handling skills coupled with professional phone etiquette.
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
  • Exceptional organizational skills with keen attention to detail; ability to prioritize tasks efficiently.
  • Experience in clerical duties such as filing, proofreading, and document management.
  • Customer service expertise to create a positive experience for visitors and clients alike.
  • Ability to manage time effectively in a fast-paced environment while maintaining accuracy under pressure.
  • Knowledge of medical or dental receptionist procedures is advantageous but not required.
  • Personal assistant experience or calendar management skills are beneficial for supporting executive needs.
