The RoleWe are looking for a proactive and people‑driven individual to join our Boston office as an Executive Services Manager on a maternity leave contract. In this multifaceted role, you’ll be at the centre of our day‑to‑day operations, supporting a talented team of 25 media professionals and helping to keep our office running smoothly and efficiently.
As the main connection between our Boston team and the Central HR and Accounts departments, you’ll play a key role in aligning local operations with company‑wide processes, ensuring our people have the structure, support, and resources they need to do their best work.
From coordinating office logistics and managing vendor relationships to providing hands‑on HR and executive support, this role touches every part of the employee experience. You’ll help onboard new team members, keep communication flowing, support leadership with administrative needs, and foster a positive, collaborative team culture. This is a hands‑on role that requires excellent judgment, attention to detail, and the ability to anticipate needs before they arise.
This is a temporary position to cover maternity leave, with training beginning 2‑3 weeks prior to the start of leave in February 2026.
- Support hiring managers with recruitment efforts by reviewing resumes, scheduling interviews, and preparing offer letters
- Assist in the onboarding and offboarding processes of employees
- Liaise with Central HR team and third‑party HR partners on personnel‑related matters
- Book travel (flights, accommodations, transportation) for team members
- Prepare and submit monthly expense reports for the Managing Director
- Schedule meetings, team events, and client‑facing lunches or outings
- Oversee day‑to‑day office operations, including supplies, equipment, and facilities requests
- Coordinate team outings and in‑office events
- Serve as the first point of contact for vendors, our property managers, and service providers
- Greet visitors and keep common spaces tidy and organized
- Answer and filter phone calls and manage email queries
- Collaborate with the Central Accounts team to reconcile the office’s corporate bank account and support US vendor invoicing
- Maintain organized physical and digital records of invoices, personnel files, and incoming mail and emails
- 2+ years of office management, executive support, or similar roles
- Ability to handle confidential information with discretion
- Proficiency in Microsoft Office, particularly Outlook and Excel
- Familiarity with HR practices is a plus
- Strong interpersonal skills and ability to work collaboratively
