Executive Assistant – Director Level

We are partnering with a Technology Firm hiring an Executive Assistant to join their dynamic, growing team. The Executive Assistant will provide high-level administrative support to the Chief Executive Officer, including reporting, expenses, research, proposal support, calendar management, scheduling, travel coordination, and meeting logistics. The ideal candidate is creative, highly organized, and thrives in a fast-paced, technology-driven environment.

This role requires the ability to work independently on projects from conception to completion, manage multiple priorities under pressure, and support a wide range of executive-level activities. This position is 5 days on-site in the Brighton, MA area.

Responsibilities
  • Maintain the CEO’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Provide administrative support to the CEO and additional Executive Leaders as needed
  • Conserve the CEO’s time by preparing correspondence, drafting letters and documents, collecting and analyzing information, and initiating communications
  • Prepare documents, reports, and presentations; update spreadsheets and track key information as needed
  • Partner closely with the CEO and leadership team to oversee administrative workflows and ensure operational efficiency
  • Ensure proper operation of office equipment by coordinating preventive maintenance, repairs, inventory management, and evaluation of new tools and technologies
Requirements
  • Bachelor’s Degree
  • At least 6 years of professional administrative support experience
  • Prior experience supporting executives within a technology company or similar industry is required
  • Ability to bring creative and innovative approaches to administrative and operational processes
  • Comfortable wearing many hats and adapting quickly to shifting priorities
  • Excellent time management and customer service skills
  • Strong ability to organize work, coordinate projects, set priorities, meet deadlines, and follow up with minimal direction
  • Clear, professional communication skills with coworkers, clients, company guests, and external partners
  • Strong written, verbal, administrative, and organizational skills
  • Proven ability to handle confidential and sensitive information with discretion
