Office Coordinator Float – Mass General Brigham

Float position, primarily onsite at the Mass General Hospital and Brigham & Women’s Hospital.
The Occupational Health Office Coordinator (OC) reports to the Office Manager for the Occupational Health Clinic. The OC provides daily administrative support, manages patient scheduling, oversees clinic record‑keeping, and performs various general administrative functions to support the clinic’s operations. The role also may include support for enterprise‑level department workflows as needed.
Responsibilities- Answers telephone calls, manages correspondence (e‑mail, fax).
- Maintains health records, including electronic filing, scanning into multiple databases, retrieving archived records, and providing information for clinic staff.
- Enters data and retrieves information from multiple databases including the electronic health record and People Soft.
- Follows HIPAA guidelines for patient privacy and confidentiality, ensuring consent forms are completed before releasing records.
- Consistently maintains courteous, helpful, caring, and professional manner with all interactions.
- Greets, checks‑in, and aids customers from physicians, senior leadership, frontline employees, and internal colleagues.
- Answers inquiries and responds to requests within the scope of responsibilities, referring inquiries to clinicians as needed.
- Makes appointments as requested by customers, HR, and all staff.
- Contacts customers with follow‑up appointments after vaccinations or lab work results.
- Communicates and relays messages to clinical staff accurately and timely.
- Supports new‑hire activities at an enterprise level using the new‑hire portal as required.
- Meets deadlines and follows through on assigned projects.
- Supports administrative activities related to Workers’ Compensation as directed.
- Reprioritizes according to the needs of a busy setting and juggles multiple priorities.

- Strong computer skills—Word, Excel, Outlook; ability to work independently.
- Effective communication skills (oral and written).
- Excellent customer service skills.
- Ability to function in a stressful environment and work effectively under pressure.
- Detail oriented.
- Knowledge of Epic and other electronic‑based clinical systems is a plus.
- At least one year of administrative services experience (strongly preferred). High school diploma required; associate degree preferred.
- English language proficiency.
- Strong interpersonal skills to communicate with cross‑functional teams at all levels.
- Negotiation, collaboration, and problem‑solving skills.
- Ability to learn quickly with minimal direction from leadership.
- Work in an office environment; possibility of traveling to other Occupational Health clinics for coverage.
- Requires frequent sitting, talking, hearing, and use of hands. Vision requirements include close vision, distance vision, and depth perception.
