Job Description
The Office Manager/Executive Assistant for “The Company” will be responsible for the organization and coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency. The Office Manager/Executive Assistant is responsible for accomplishment of the following major objectives:
- Manage and supervise office operations, including ensuring proper procedures are followed, ordering supplies, processing invoices and expenses reports, interacting with vendors and facility management
- Work with “The Company” security experts to ensure office procedures are current and systems are functional
- Process new employees, including paperwork, securing network access, mobile phones, business cards, and computers
- Plan, coordinate, and maintain executive calendars, meetings, teleconferences, and travel (foreign and domestic)
- Perform monthly analysis of actual expenses vs. budget, generating a report to be distributed to Finance Department in US and France
- Provide backup to Marketing, Business Development, and Government Affairs teams as needed
- Serve as the Human Resource contact for the office
- Maintain relationships with “The Company” counterparts world-wide to increase sense of cohesiveness
- Thorough knowledge of office procedures, equipment, and software systems, including excellent knowledge of Microsoft Office (Word, Excel, PowerPoint, and Outlook)
- 3+ years of relative experience
- Comfortable taking initiative and working across teams and functions
- Excellent communication skills including oral, written, and interpersonal
- Ability to work with all levels of management and staff, vendors, and customers
- Strong organizational skills, including the ability to successfully manage multiple projects with competing priorities and deadlines
- Excellent attention to detail and follow-up
- Ability to exhibit confidentiality, discretion, and flexibility
- A working knowledge of accounting and human resource management practices and procedures
- A working knowledge or desire to learn French language and culture
