Executive Office|Clear Haven Capital Management|Boulder, CO

ABOUT CLEAR HAVEN

Clear Haven Capital Management is an asset-backed credit and structured products investment firm founded in 2019, managing $2.5B+ across four institutional strategies spanning public and private markets. Our team operates under a single, differentiated investment philosophy: find diverse, predictable cash flow profiles, apply strong structural protections, and create value on both sides of the balance sheet.

ROLE OVERVIEW

We are seeking an experienced Executive Assistant / Personal Assistant to provide dedicated, high-level support to a senior leader of the firm. This is a high-trust role working at the center of a busy executive's professional and personal schedule. The role centers on calendar, time, and travel management — keeping a demanding day running smoothly, anticipating needs before they arise, and handling business and personal logistics with discretion and sound judgment.

This is a full-time, in-office role based in our Boulder office, five days per week. The role works East Coast hours to stay aligned with our New York office, investors, and counter parties.

RESPONSIBILITIES
  • Own and actively manage a complex, fast-moving calendar — scheduling, prioritizing, and resolving conflicts across internal meetings, investor and counter party calls, travel, and personal commitments
  • Manage rolling call lists throughout the day — placing and connecting calls, tracking who has been reached, and keeping an up-to-date record of follow-ups and callbacks
  • Coordinate meetings and events end to end, including invitations, dial-ins and video links, conference rooms, catering, and preparation of agendas and briefing materials
  • Manage all travel scheduling — researching and booking domestic and international flights, hotels, and ground transportation in line with preferences and firm policy
  • Build and maintain detailed, up-to-date itineraries covering meetings, contacts, confirmations, and logistics, and rebook quickly when plans change
  • Prepare, reconcile, and submit expense reports accurately and on time, tracking receipts and ensuring compliance with firm policies
  • Run business and personal errands as needed, including pickups, deliveries, appointments, and household or personal administrative tasks
  • Serve as a first point of contact for the executive, screening calls and correspondence, managing the inbox, and representing the office professionally with investors, partners, and colleagues
  • Handle sensitive and confidential information with the utmost discretion and in line with firm compliance policies
  • Collaborate with the broader Clear Haven team across New York and Boulder to coordinate schedules, priorities, and firm events, and support special projects as needed
QUALIFICATIONS
  • Bachelor's degree preferred; equivalent professional experience will be considered
  • 3–5 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting a senior executive; experience in financial services, asset management, or a professional services firm a plus
  • Expert calendar, time, and travel management skills, with a demonstrated ability to juggle shifting priorities and keep a senior leader on schedule
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and Teams; experience with expense management platforms a plus
  • Strong written and verbal communication skills with exceptional attention to detail
  • Proven discretion and sound judgment in handling confidential business and personal matters
  • Ability to work East Coast hours on a consistent basis
  • Proactive, resourceful, and calm under pressure, with a service-oriented, can-do attitude
  • Valid driver's license and reliable transportation for errands
COMPENSATION & BENEFITS
  • Expected annual base compensation: $75,000 – $95,000
  • 20 days PTO per year in addition to paid holidays
  • Employer-sponsored Medical / Dental / Vision
