Location: Boulder, Colorado
The Front Office Supervisor oversees all front desk operations for a busy general surgery practice in Boulder, Colorado. This role ensures excellent patient service, efficient scheduling, and administrative accuracy. The ideal candidate is bilingual (English/Spanish), experienced in surgical scheduling, and highly skilled in managing accurate provider schedules. Familiarity with Athenahealth is preferred.
Key Responsibilities:- Supervise and support front desk team in daily operations including patient check- in/check-out, appointment scheduling, and phone triage
- Ensure provider schedules are accurate and up to date, including adjustments for surgeries, time off, and overbooking policies
- Coordinate surgical scheduling, including pre-operative testing, imaging, authorizations, and post-operative follow-up
- Train and coach front desk staff on proper use of practice workflows and policies
- Verify insurance eligibility, obtain referrals and prior authorizations, and support patients in understanding coverage
- Oversee collection and posting of co-pays and balances; ensure accuracy in financial transactions
- Serve as the first point of contact for patient concerns or service recovery
- Monitor and report on front office performance metrics, including schedule utilization and no-show rates
- Collaborate with clinical, billing, and administrative staff to ensure smooth operations and patient satisfaction
- Maintain HIPAA compliance and enforce all office protocols
- Coordinate front desk staff scheduling and ensure adequate coverage at all times
Education & Experience:
- High school diploma or equivalent required; associates or bachelors degree preferred
- Minimum of 3 years of medical office experience, with at least 1 year in a supervisory or team lead role
- Surgical scheduling experience is required
- Athenahealth experience is preferred but not required
- Bilingual in English and Spanish is preferred
- Proven ability to manage and maintain accurate provider schedules
- Strong leadership and communication skills
- High attention to detail, organization, and multitasking ability
- Familiarity with EMR systems and insurance processes
- Strong customer service and conflict-resolution abilities
- Proactive, adaptable, and team-oriented
- Fast-paced medical office environment
- Frequent use of computer and phone systems
- Occasional lifting (up to 25 lbs)
- Flexibility may be required during high-volume periods or surgical scheduling demands
- Full-time, Monday through Friday
- Occasional early mornings or extended hours depending on surgical and provider schedules
