Job DescriptionAs the first person patients see or speak to, you’ll create a positive, reassuring experience from the very first interaction—whether in person or over the phone. Your compassion, professionalism, and positive attitude will set the tone for each visit.
Job Duties- Answer the telephone promptly, evaluating patient needs to determine appointment type.
- Summarize appointment details before ending the call.
- Manage all phone functions (transfers, hold, forwarding to after‑hours system).
- Accurately record patient name, numbers and demographic information with correct spelling and punctuation.
- Schedule, reschedule, or cancel appointments according to provider preference and scheduling protocol.
- Navigate and operate the Electronic Medical Records system, arriving patients for appointments and inputting relevant information.
- Good judgment, professionalism and discretion when screening calls, answering inquiries and relaying appropriate information.
- Ability to work under pressure and maintain phone etiquette with tact and diplomacy.
- Excellent customer service and communication skills.
- Strong computer and data‑entry skills.
- Strong grammar and spelling ability; able to read, write and understand English.
- Neat, well‑groomed appearance and courteous manner.
- Knowledge of medical terminology and HIPAA compliance preferred.
- High school diploma or equivalent.
- Associate’s degree or some college coursework in Business or Healthcare Administration preferred.
- One year of previous work experience involving public contact, preferably with heavy phone usage.
- Previous experience with patient scheduling in a hospital or clinic setting preferred.
- Bi‑lingual ability (Spanish) a plus.
Hourly pay range: $17.19 – $22.92 (full range $17.19 – $25.79).
