OverviewThe Administrative Assistant / Business License Coordinator provides essential administrative and customer service support to the Planning Department. Under the general supervision of the Planning + Economic Development Director, this position serves as the primary point of contact for business license processing and assists with a wide range of departmental administrative functions.
Essential Job Functions- Serve as the primary coordinator for business license inquiries, including the distribution, intake, processing, and issuance of business licenses.
- Provide administrative support to the Planning + Economic Development Director including scheduling, correspondence, records management, and meeting preparation.
- Receive and process planning applications, prepare agendas, distribute materials, and prepare meeting minutes for Planning Commission and other meetings.
- Act as an intermediary between the director, department staff, and the public by screening calls, emails, correspondence, and visitors.
- Prepare and process invoices, purchase orders, requisitions, and other administrative documentation.
- Organize and maintain departmental files and records, and track follow‑up items and pending matters.
- Research and prepare special department reports, including gathering, summarizing, and organizing data.
- Attend Planning Commission meetings on the 1st and 3rd Tuesdays of each month (evening meetings beginning at 6:30 p.m.) and other meetings as required.
- Perform other duties and responsibilities as assigned.
- Knowledge of office management practices, procedures, and general bookkeeping principles.
- Proficiency in Microsoft Word, Excel, Outlook, and other general office software.
- Ability to type a minimum of 55 words per minute.
- Strong written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to follow complex oral and written instructions, policies, and procedures.
- Ability to establish and maintain effective working relationships with staff, elected officials, and the public.
- Ability to handle confidential information with discretion.
- Ability to work under pressure, manage multiple priorities, and meet deadlines.
- High school diploma or equivalent.
- Minimum of two years of full‑time administrative assistant experience or similar work.
- Must maintain a valid driver’s license.
- Successfully pass a background check, a driving record check, and a pre‑employment drug test.
