Pay:£13.00 per hour

Westbourne Academy in Bournemouth has an exciting opportunity to join our team as a Receptionist / Administrator. This role will begin on a part‑time basis, with hours increasing to full-time during our busy summer period. Westbourne Academy is part of New City College, the fourth‑largest college group in the UK, with campuses across Hackney, Tower Hamlets, Redbridge, Epping Forest and Havering, as well as language schools in Bournemouth and Oxford.

About

the Job:
  • Support the Head of Administration and Head of Accommodation by registering students on courses.
  • Work closely with the Head of Administration to ensure the objectives of the school are met.
  • Enrol students into our online Class database system.
  • Assist the Accommodation Department to ensure the efficient placement of students in homestay and residential accommodation and to support a positive student experience.
  • Act as the first point of contact at the school reception, including taking credit card payments for activities and answering telephone calls, transferring to the relevant staff member where applicable.
  • Print students’ course completion certificates weekly.
  • Update student activity posters to ensure information is accurate and current.
  • Promote the weekly activities to students in their classrooms, helping encourage participation and engagement.
  • Prepare the weekly student intake list, ready for each Monday’s intake.
  • Prepare the weekly emergency contact list spreadsheet from the Class database.
  • Have an awareness of safeguarding procedures and raise any issues with, and report any concerns to, the school’s Designated Safeguarding Lead, particularly regarding students under the age of 18.
  • Carry out other duties as may reasonably be requested by the Principal, Head of Administration or Head of Accommodation of Westbourne Academy.

Fixed term March - October, with the possibility of a permanent part-time or full-time role afterwards.

Monday to Friday, 08:30 - 13:00 March to June.

Monday to Friday, 08:30 - 17:00 July to August.

Person Specification:
  • Accurate database entry skills, with confident use of a calculator to ensure all figures entered are correct and match the enrolment quotation.
  • Proven administration skills.
  • Excellent telephone manner.
  • Proven skills in the effective support of a busy reception area.
  • Proven ability to work independently and manage workload effectively and efficiently.
  • Commitment to safeguarding, equality, diversity and inclusion, with the ability to promote a welcoming and inclusive environment for all students.
