Support Secretary to Specialist Nursing Teams - Gastroenterology

The role involves providing support to the Gastroenterology Specialist Nursing Team Secretaries and Gastroenterology Specialist Nurses across UHD.
It includes delivering an efficient telephone service, assisting patients and Specialist Nurses with queries, sending out necessary tests to patients for their appointments in a timely fashion, managing virtual clinics, and recording ad‑hoc telephone consultations on PAS systems.
Base location: UHD – Royal Bournemouth Hospital with one day at Poole if required.
Interview date: August 17th.

Job responsibilities- Fully support the secretaries and specialist nurses in their role and cover during sickness and annual leave.
- Look up, sort and file patient results.
- Use the hospital computer system to access patient details. CRT must always be used when receiving and moving notes; this is mandatory within the Trust.
- Photocopy, fax, scan and general filing.
- Answer specialist nurse and secretary telephones and take messages when required.
- Maintain virtual clinics, attend, input outcomes and generate follow‑ups as directed by the SPNs.
- Record ad‑hoc telephone attendances.
- Scan all new Choose & Book referrals.
- Type clinic/additional letters to GPs, patients and other Allied Health Professionals, using digital dictation when appropriate.
- Assist SPN secretaries with administrative duties.
- GCSE in English and Maths or equivalent.
- Vocational level 3 in a relevant field or equivalent experience.
- Minute‑taking skills.
- Medical terminology.
- Experience as a medical secretary.
- NHS admin experience.
- Computer literate with word‑processing experience.
- eOps trained on eCamis or similar.
- Understanding of secretarial procedures.
- Understanding of Microsoft Word.
- Good verbal and written skills.
- Flexibility with working pattern.
- Team member.
- Well‑presented.
- Ability to deal with sensitive issues.
- Ability to organise own workload with priorities.
- Be able to speak English as necessary to undertake the role.
