The Role
As a Property Administrator, you'll manage your own caseload, ensuring customer and property information is accurately maintained and updated within company systems.
You'll process a range of documentation, maintain compliance requirements, and communicate professionally with customers and stakeholders, primarily via email. Some cases involve sensitive circumstances, requiring discretion, professionalism, and an empathetic approach, whilst remaining focused on the administrative process.
Key Responsibilities
Maintain and update customer and property records within the management system, ensuring all information is accurate, complete, and compliant.
Process and record documentation including wills, death certificates, probate documents, Grants of Probate, Powers of Attorney (POA), changes of address, and contact details.
Ensure permissions and authorities are accurately recorded and adhered to.
Manage a personal caseload of approximately 80-100 active cases, maintaining accurate records and timely updates.
Update information within the Qube management system to reflect the latest customer circumstances and legal requirements.
Handle sensitive cases professionally and empathetically, ensuring appropriate procedures and timescales are followed.
Respond to enquiries via email, providing clear, accurate, and timely information.
Maintain exceptional attention to detail when processing legal and financial documentation.
About You
We're looking for someone who:
Has strong administrative and organisational skills.
Has exceptional attention to detail and takes pride in producing accurate work.
Is comfortable carrying out repetitive, process-driven tasks with a consistently high level of accuracy.
Can manage confidential and sensitive information with professionalism and discretion.
Has strong written communication skills and is confident responding to enquiries via email.
Is comfortable learning new systems, processes, and legislation.
Has experience using databases, case management systems, or administration platforms.
Can effectively prioritise and manage their workload.
