RAYUS Radiology is looking for a Patient Service Representative to join our team. We are challenging the status quo by shining light on radiology and making it a critical first step in diagnosis and proper treatment. Come join us and shine brighter together! As a Patient Service Representative, you will be responsible for executing the day-to-day activities of patient-facing service ensuring quality assurance and customer service satisfaction while facilitating and coordinating communication between patients, family members and staff.
This role provides optimal patient-centered services supporting the imaging center front office, medical records, technologists with patients through a rotation through front desk, medical records and technologist assistant roles.
This role is full-time working Monday-Friday, 8:00am-4:30pm.
Essential Duties and Responsibilities:
- Front Desk:
Serve as initial point of contact for patients and visitors, creating and providing positive Patient Service Experiences - Timely registration of patient arrival by validating accurate demographic information and collection of out-of-pocket payments prior to services
- Inform patients about delays and wait times; follow up with patients to ensure their inquiry or complaint is resolved
- Answering, investigating, and/or directing patient inquiries or complaints to the supervisor or manager
- Obtain and validate photo identifications and insurance cards; scan relevant documents into the patient’s chart electronically and categorize appropriately
- Provide Consent, Financial, and HIPAA compliance related documents and explain them to patients when necessary
- Proficient use of EHR software, hardware, and programs
- Scrutinize prescriptions and referrals for accuracy to ensure patients receive appropriate exams
- Coordinate with interdepartmental professionals to ensure patient satisfaction related to appointment scheduling and admission/encounter
- Verify and dispense oral contrast and preparation instructions to patients scheduled for upcoming appointments
- Participate in medical office emergency routines when required; summon EMS and assist other staff as needed
- Manage outgoing and incoming faxes (electronic and manual)
- Maintain administrative office supplies (e.g., brochures, cards, sign-in sheets)
- Contact referring physician offices to verify information or request pending information necessary for the patient’s exam
- Organize and prioritize tasks to meet deadlines while maintaining efficient patient flow
- Use professional phone and written etiquette when handling correspondence
- Maintain reception and patient waiting areas (cleanliness, literature organization, beverages)

- Adhere to company policies, procedures, objectives, and goals
- Maintain strict confidentiality of PHI in compliance with HIPAA regulations
- Medical Records:
Ensure quality assurance of health records by verifying completeness and accuracy and proper entry into computer systems - Serve as point of contact for Medical Records for patients and visitors, creating positive patient experiences
- Retrieve and release health information data/medical records in compliance with HIPAA and company policies
- Interact and work cooperatively with patients and team members of diverse backgrounds to ensure inclusion
- Act as liaison between healthcare providers and offices in a timely manner
- Proficient use of EHR software, hardware, and programs
- Organize and prioritize tasks to meet deadlines while maintaining efficient patient flow; take appropriate action with sound judgment
- Provide clear and friendly patient education about diagnostic examinations and instructions per policy
- Handle Stat/Urgent cases pending communications from referring providers after services
- Use professional phone and written etiquette when handling correspondence

- Maintain strict confidentiality of PHI in compliance with HIPAA regulations
- Maintain reception and patient waiting areas (cleanliness, sanitation, literature organization, refreshments)
- Technologist Support:
Monitor all modality schedules - Greet and escort patients to changing rooms; briefly explain procedures
- Prepare/changing room turnaround with proper sanitizing techniques
- Assist the technologist in keeping appointments on time by preparing the next patient
- Ensure patient areas are stocked and organized
- Clean and stock the patient prep room and restroom
- Stock linen and manage laundry at end of shift
- Check with technologists, center supervisor, or center manager for additional duties as needed
- Other Duties as Assigned
- Qualifications
Required:
High School diploma or equivalent - One (1) year of applicable customer service experience
- Experience in a healthcare setting
- Working knowledge of Microsoft Office
- Proficient with using computer systems and typing
