Receptionist (part-time, 25 hours/week) – Crowley Fleck Attorneys PLLP
Bozeman, Montana
Position SummaryThe Receptionist works closely with attorneys and legal professionals providing general office support. The receptionist is often the first point of contact for visitors to the firm and is responsible for performing a variety of administrative and clerical support tasks to ensure efficient day‑to‑day operations. Part‑time hours are 12:00 pm – 5:00 pm MST.
Key Responsibilities- Answer, screen, and route incoming phone calls.
- Greets clients, visitors, and guests.
- Determines purpose of each visit and directs or arranges escort to the appropriate location.
- Provide accurate information or redirect to the appropriate person for internal and external inquiries.
- Schedule conference rooms.
- Assist with maintaining the waiting area/lobby and other areas such as conference rooms.
- Operate office equipment including a multi‑line telephone system, video conferencing equipment, copier, scanner, fax machine, and printer.
- Assist with clerical tasks such as handling mail, postage, parking validation, setting up conference bridges, filing, copying, scanning, faxing, word‑processing, running errands, and restocking supplies as needed.
- Provide administrative support to other departments as requested.
- Maintain administrative lists, phone lists, and other office details.
- Track and store the AED machine for the office.
- Strong customer service and interpersonal skills to communicate effectively with all levels of personnel and external clients.
- Maintain strict confidentiality of client and firm information.
- Work collaboratively within a team and independently.
- Learn new skills as technology evolves.
- Exhibit excellent attention to detail and follow through on deliverables.
- Apply comprehensive planning and organizing strategies to prioritize tasks and use resources effectively.
- Work under tight deadlines, handle multiple detailed tasks, and anticipate when help will be needed.
- Respond quickly and positively to shifting demands and opportunities.
- Work effectively in a multi‑office and culturally diverse environment.
- Write clearly and informatively, edit for spelling and grammar, and adapt communication to suit needs.
- Speak clearly and persuasively, listen and clarify as needed, respond well to questions, and collaborate in group settings.
- Take responsibility for work activities and personal actions, follow through on commitments, learn from mistakes, and recognize impact on others.
- Make sound decisions independently using available information.
- High school diploma or equivalent.
- Minimum of one year of experience in a professional environment.
- Working knowledge of Microsoft Office Suite, Adobe, and similar software.
- Ability to read, comprehend, and follow written and verbal instructions.
- Valid driver’s license.
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift up to 25 pounds at times.
