Office Manager

We are seeking a motivated, energetic, and committed individual to join our team as Office Manager. The ideal candidate thrives in a collaborative environment, values quality and integrity, and takes pride in supporting a high‑performance organization. The Office Manager will be a trusted partner to leadership, helping manage day‑to‑day office operations, implementing efficient systems and procedures, and serving as a professional liaison between executives, team members, and external stakeholders.

The successful candidate will bring excellent organizational, communication, and problem‑solving skills, impeccable attention to detail, and the ability to anticipate needs and act proactively.

Key Responsibilities
  • Manage daily mail intake, scanning, uploading, and distribution to internal team members and external stakeholders
  • Oversee ordering and inventory of office supplies, consumables, and general office resources
  • Administer user accounts and light administration across core business software tools (Microsoft 365, Adobe, Canva, etc.)
  • Collect, organize, and upload receipts from team members to support credit card and expense reconciliation processes
  • Support onsite tasks, errands, and special administrative projects as needed
  • Some oversight of third‑party property management
  • Perform light website content updates and basic social media posting across Linked In, Facebook, and Instagram
  • Manage the main company phone line and main email inbox, ensuring inquiries are answered or routed promptly and professionally
  • Build and maintain positive relationships with clients, partners, vendors, and internal team members; serve as a professional point of contact
  • Manage sensitive and confidential information with discretion; maintain organized digital and physical filing systems
  • Serve as the internal liaison with the company’s IT service provider; provide basic troubleshooting and support coordination
  • Provide planning and coordination of team events and company gatherings
  • Support basic office budgeting and expense tracking, including vendor coordination and cost‑efficiency efforts
  • Responsible for miscellaneous admin duties such as record clean‑up, annual entity filing coordination, notary services, and more
  • Provide flexible, day‑to‑day administrative support to company leadership as priorities evolve
Qualifications and Requirements
  • Minimum three years’ professional experience as an Office Manager, Executive Assistant, or similar administrative role; prior support of senior leadership preferred
  • Basic accounting or bookkeeping familiarity
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills with high attention to detail
  • Proficient with Microsoft 365 (Word, Excel, PowerPoint, Teams), Outlook, SharePoint, Adobe, use of AI, and similar tools
  • High level of discretion and professionalism when handling confidential information
  • Strong interpersonal skills and ability to work both independently and collaboratively
  • Bachelor’s degree preferred but not required
  • Notary certification or willingness to obtain
Compensation & Schedule
  • Pay: $30.00 – $35.00 per hour (DOE)
  • Schedule:

    Monday – Friday, approximately 9:00 AM – 3:00 PM MT
  • Estimated Weekly

    Hours:

    25 – 30 hours (part‑time)
  • Position Type:
    In‑office role based in Bozeman, MT
  • PTO: 10 days (two weeks) of paid time off per year
  • Paid Holidays:
    Eligible for Providence’s standard paid holiday schedule (including paid office closure during the week between Christmas and New Year’s). Holiday pay is based on the employee’s regular hourly rate and agreed daily schedule
