At Fenwick, operational excellence is critical to delivering a seamless customer experience and maintaining safe, compliant and commercially strong stores.

As part of the Retail Operations Administrator – Pooled Resource Team, you will provide coordinated administrative and operational support across the full store estate. Working as one centralised team of approximately six administrators, you will ensure consistency, efficiency and accuracy across all eight stores.

This role moves beyond single-store support. You will operate as part of a structured, digitally enabled pooled function—prioritising workload dynamically across the estate, supporting peak periods, covering absence, and driving standardised best practice.

You will combine strong administrative capability with digital proficiency, automation, and AI-driven efficiency to modernise how operational support is delivered across Fenwick.

Please note travel to other Fenwick stores will be required with this role.

Key Responsibilities:
  • Estate-Wide Cash & Financial Administration

  • Support and coordinate cash-related processes across all stores, including petty cash, change ordering, automated cash counting systems and reconciliation reporting.

  • Investigate discrepancies (refunds, voids, variances) across the estate and escalate in line with central finance procedures.

  • Ensure consistent reporting standards using Excel and D365 tools to provide visibility across multiple stores.

  • Provide remote and on-site support where required during peak trading or operational risk periods.

  • People & HR Administration (Multi-Site)

  • Coordinate new starter processes across stores, ensuring induction scheduling and documentation is accurate and timely.

  • Collate and submit payroll and HR documentation across the estate.

  • Maintain accurate digital training and compliance records, ensuring central visibility and audit readiness.

  • Support stores with consistent application of People processes and documentation standards.

  • Health & Safety & Compliance

  • Administer and monitor health & safety documentation across all stores, ensuring compliance standards are consistent.

  • Maintain estate-wide visibility of risk assessments, training records and compliance updates.

  • Support audit preparation and follow-up actions across multiple sites.

  • Operational Coordination & Estate Efficiency

  • Act as a shared operational support function across all 8 stores, flexing workload according to business need.

  • Use task management tools to prioritise, track and allocate work efficiently across the pooled team.

  • Produce standardised operational reporting using Excel, PowerPoint and D365 tools.

  • Support the Retail Operations Lead with estate-wide dashboards, summaries and presentation materials.

  • Identify opportunities to streamline repetitive tasks through automation and process improvement.

  • Actively leverage AI tools, including Copilot, to improve productivity, automate reporting, enhance data analysis and reduce manual workload.

Ways of Working (Pooled Model)
  • Operate as one aligned team of approximately six administrators.

  • Work from a centralised workload tracker.

  • Balance reactive store support with proactive compliance and reporting cycles.

  • Share best practice and continuously improve processes across stores.

  • Travel to stores where required to support operational delivery.

Key

Skills & Experience:
  • Strong administrative experience within a retail or multi-site environment.

  • High level of proficiency in Excel, with the ability to manage multi-store data and produce clear reporting.

  • Confident using

    PowerPoint to create professional operational updates and summaries.

  • Experience working with Microsoft D365 applications and digital workflows.

  • Comfortable usingtask management tools to coordinate shared workloads efficiently.

  • Proactive in adopting AI tools and Copilotto automate tasks and improve productivity.

  • Highly organised with strong attention to detail across multiple sites.

  • Numerate, analytical and confident investigating discrepancies.

  • Adaptable, collaborative and able to work at pace across competing priorities.
