About the Role

As a Legal & Insurance Coordinator you’ll serve as the central hub for managing our company’s workers’ compensation, auto, and general liability claims. This role is key to keeping claims on track—coordinating with adjusters, attorneys, and internal leaders to ensure documentation is accurate, complete, and compliant.

You’ll also dig into the data behind our claims, identifying trends that help our leaders make smarter, safety-focused decisions. From supporting litigation preparation to assisting with insurance renewals and audits, this is a hands‑on, detail‑driven position where organization, communication, and insight come together to reduce risk and improve outcomes across the business.

Key Responsibilities
  • File and track Auto, General Liability (GL), and Workers’ Compensation claims promptly and accurately.
  • Maintain a comprehensive digital Claims Data Room and centralized claims log with compliant documentation.
  • Collect, organize, and manage claim documentation including medical reports, witness statements, and service records for active or potential litigation.
  • Investigate Auto and Property (GL) claims to document incident details using internal and vendor software tools.
  • Coordinate Auto claims with internal partners to manage vehicle repairs, downtime, and cost recovery.
  • Partner with insurance adjusters, legal counsel, and internal leadership to maintain current claim status and case updates.
  • Collaborate with the Fleet Manager on vehicle payoffs and valuations, ensuring all costs (wraps, racking, etc.) are properly captured.
  • Prepare and deliver materials for affidavits, subpoenas, depositions, and hearings as needed.
  • Compile, analyze, and report on claims data—including trends in incidents and costs—by company, location, and trade.
  • Present findings and trends that impact claim frequency, cost, or safety performance to key stakeholders.
  • Attend risk, loss, and claims review meetings with insurance vendors and third‑party administrators.
  • Coordinate the annual commercial insurance renewal process by collecting and verifying required data, preparing documentation, and collaborating with brokers.
  • Prepare and submit annual commercial policy audits for General Liability, Workers’ Compensation, and Auto coverage.
Future State Responsibilities
  • Partner with the Risk & Safety team to support incident investigations and documentation.
  • Implement, schedule, and track safety training sessions and completion rates.
  • Maintain compliance calendars and safety documentation for internal reviews and audits.
Experience & Qualifications
  • Background in insurance claims, risk management, legal administration, or safety coordination preferred.
  • Familiarity with workers’ compensation and auto liability processes a plus.
  • Experience compiling and presenting data analysis or reports to leadership.
  • Strong ability to manage compliance documentation for audits or legal proceedings.
  • Prior experience with safety training coordination or compliance tracking helpful.
  • Combination of education and experience that demonstrates capability to perform the role successfully.
Benefits & Perks
  • FREE Health Savings Account (HSA) Medical Plan for employees, plus additional low‑cost medical options.
  • Dental & Vision insurance.
  • Life Insurance coverage.
  • Paid Time Off (PTO) and Paid Holidays
    .
  • 401(k) with employer match
    .
  • Access to Management‑in‑Training programs and career growth opportunities
    .
  • Employee discounts on services from Benjamin Franklin Plumbing, Mister Sparky Electric, and One Hour Heating & Air Conditioning.
  • Opportunities to grow across multiple trades through the Service Minds family of companies
