General Description of Duties
  • Perform a variety of fiscal, accounting, and administrative duties in support of the Fiscal Department, including accounts payable and receivable, purchasing support, budget tracking, grant administration, and asset management.
  • Analyze and maintain financial records, process accounting transactions, reconcile accounts, prepare journal entries, and assist with grant management.
  • Support inventory and fixed‑asset tracking, prepare financial reports, process invoices and payments, assist in budget compilation, and maintain grant documentation.
  • Monitor expenditures for compliance, reconcile general ledger accounts, update inventory and fixed‑asset records, and communicate with vendors and internal staff to resolve discrepancies.

Skills and Abilities
  • Knowledge of accounting and budgetary principles, practices, and terminology.
  • Ability to learn and perform duties across multiple fiscal functions, including accounts payable, accounts receivable, payroll, grants, budgeting, inventory, and fixed assets.
  • Strong analytical and problem‑solving skills with the ability to research and reconcile discrepancies.
  • Exceptional attention to detail and accuracy in processing financial data.
  • Proficiency in Microsoft Excel and experience with accounting systems (One Solution and/or Finance Enterprise preferred).
  • Ability to prepare accurate financial reports, records, and documentation.
  • Strong organizational skills and ability to manage multiple tasks within deadlines.
  • Effective oral and written communication skills.
  • Ability to establish and maintain positive working relationships with coworkers, management, and external vendors.
  • Ability to maintain confidentiality of sensitive fiscal information.
Physical Abilities
  • Required to speak and hear clearly.
  • Frequently required to sit and use hands and fingers to handle or feel.
  • Occasionally required to stand, walk, reach with arms and hands, climb stairs or balance, and to stoop, kneel, crouch or crawl.
  • Required close vision.
Tasks and Policies
  • Perform fiscal duties across multiple areas as assigned.
  • Review and process invoices, requisitions, and purchase orders.
  • Prepare and reconcile journal entries, ledger accounts, and monthly financial reports.
  • Assist in the preparation, tracking, and monitoring of departmental budgets and expenditures.
  • Assist with grant administration, including documentation, compliance monitoring, and reporting.
  • Support inventory and fixed‑asset processes, including tagging, record maintenance, and reconciliation.
  • Prepare spreadsheets and analyses to support financial decision making.
  • Research and resolve fiscal discrepancies and communicate effectively with vendors and agency staff.
  • Maintain organized and accurate financial records in accordance with agency and accounting standards.
  • Provide backup coverage for other fiscal positions as needed, ensuring continuity of operations during staff absences.
  • Successfully complete all assignments to specifications, within established time frames and budgets, and in accordance with agency policies and regulations.
  • Perform other related duties as assigned.
Minimum Qualifications
  • High School Diploma or Equivalent (GED) required.
  • Bachelor’s degree in Accounting, Finance, or a closely related field required.
  • Equivalent combinations (totaling 4 years) of education, training, and progressively responsible work experience in accounting, finance, business administration, or a closely related field may be considered in lieu of the degree requirement.
  • Experience with financial systems preferred.
  • Valid Florida driver’s license required.
