Full Time 37.5 Hours per week 9am to 5pm (Non‑negotiable) Sponsorship NOT available for this role.
You will be ensuring the effective running of multiple services and picking up general office duties. You will be a team player contributing to the overall high performance of the Westcliffe Health Innovations Administration team.

Main DutiesProvide effective and efficient clerical and administrative support to the outpatient admin team. Manage and prioritise your own workload and use your own initiative.
Use proven administration skills in a healthcare setting and maintain confidentiality. Demonstrate competency in keyboard and data inputting skills.
Responsibilities- Produce accurate and professional letters for the service, including arranging follow‑up appointments and referrals.
- Manage and type specialist clinic documents, ensuring all typing is completed within guidance and policy.
- Book patients into appropriate clinics via telephone and letter.
- Ensure all documentation for the discharge process is completed and notes are scanned onto Patient Information System (S1).
- Liaise with clinical staff regarding patient letters, histology dictation, and matching of reports to patient files.
- Answer telephone calls, take messages for clinical and management staff, and forward them timely.
- Operate appointments via Choose and Book system and make appointments at the time of the phone call whenever possible.
- Provide general office duties such as filing, post distribution, and photocopying.
- Cover during staff absences and handover responsibilities to colleagues before planned absences.
- Register patients on System One and case load into service.
Westcliffe Health Innovations was established in 2014 based at Eccleshill Treatment Centre to deliver consultant‑led high quality endoscopy services to NHS patients in Bradford and Leeds. Now in 2026, the organisation provides a range of services including gastroenterology, endoscopy, plastic surgery, cardiology, ENT, gynaecology, urology, dermatology and private services. The care delivered is in a clean modern environment with a focus on patient satisfaction.

.
- GCSE grade C+ in English and Maths or equivalent.
- NVQ3 customer service or equivalent (desirable).
- High experience in customer service (telephone and face‑to‑face).
- Experience in NHS or patient‑focused environment.
- Strict confidentiality adherence.
- Clerical/administrative experience in similar environment.
- Competence with IT and System One.
- Excellent interpersonal, listening, and relationship‑building skills.
- Ability to work independently, prioritise workload, and handle pressure.
- Willingness to learn and develop.
- Valuing diversity and treating people with respect.
