We are seeking a detail-oriented and organised experienced Medical Secretary to join our GP Practice. The ideal candidate will play a crucial role in processing referrals to secondary care and providing essential administrative back office support. This position requires a strong ability to manage multiple tasks efficiently while maintaining a high level of professionalism and confidentiality.

Main duties of the job

Duties

  • Preparing and processing referrals to secondary care via NHS e-Referral Service (Choose and Book).
  • Managing and processing NHS Mail correspondence efficiently and professionally.
  • Handling patient queries and correspondence via Patchs and other communication platforms.
  • Supporting clinicians with accurate and timely clinical coding of consultations, diagnoses, and outcomes within Systm One.
  • Support the completion of medical reports, SARS and letters as required.
  • Liaising with hospitals, community services, and other healthcare providers to coordinate patient care and follow up referrals.
  • Maintaining confidentiality and ensuring all data is handled in line with GDPR and practice policies.
  • Manage appointment scheduling, including booking, rescheduling, and confirming patient appointments.
  • Handle incoming calls, emails, and correspondence, responding to inquiries in a timely manner.
  • Perform general office duties such as filing, data entry, and maintaining office supplies.
About us

We are a practice consisting of 6 GP Partners, 4 salaried GPs, 5 Practice Nurses, 4 Health Care Assistants, and a lovely admin team. We have around 8,900 patients. We operate from a large multi-purpose building in Eccleshill, where we also have Physiotherapists Social Prescribers, Ultrasound, Epilepsy and memory clinics and the District Midwives. We have a strong training focus in practice, training 6 GP registrars, FY2 doctors, medical students, advanced nurse practitioners, and nursing students.

We are an understanding, flexible, warm, supportive multi-disciplinary team, with experienced staff that have worked with us for many years. And we are proud to have a very low staff turnover due to the friendly, professional, rewarding, and supportive environment.

Job responsibilities

We are seeking a highly organised and professional Medical Secretary to provide comprehensive administrative support within a busy GP practice. The role involves preparing and processing referrals to secondary care via the NHS e-Referral Service (Choose and Book), managing NHS Mail correspondence, and handling patient queries through PATCHS and other communication platforms. The successful candidate will support clinicians with accurate and timely clinical coding of consultations, diagnoses, and outcomes using Systm One, assist with the completion of medical reports, SARs, and clinical letters, and liaise with hospitals, community services, and other healthcare providers to coordinate patient care and follow up on referrals.

Additional responsibilities include managing appointment scheduling, handling incoming calls, emails, and correspondence, and maintaining strict confidentiality in line with GDPR and practice policies. The ideal candidate will demonstrate strong organisational skills, attention to detail, excellent communication abilities, and the capacity to work efficiently in a fast-paced healthcare environment.

Person Specification Experience
  • Previous experience working in a GP surgery or primary care setting.
  • Proficiency in using NHS e-Referral Service (Choose and Book).
  • Experience with clinical coding (Read/SNOMED codes).
  • Knowledge of GP clinical systems (Systm One)
  • Proficient in using office software applications (e.g., Microsoft Office Suite).
  • Confident use of NHS Mail and Patchs.
  • Excellent communication and organisational skills.
  • Excellent medical terminology, knowledge
Qualifications
  • A Level grades/ equivalent of C or above in English and Maths
