Scope
The Warehouse Management Systems (WMS) Administrator is responsible for managing and optimizing daily warehouse system activities to ensure accurate order processing, timely shipment execution, and high data integrity. This role serves as a key liaison between warehouse operations, sales order coordination, traffic teams and IT, ensuring the WMS and related data systems run efficiently and support operational decision-making. The Administrator supports operational performance by monitoring reports, performing data analysis, troubleshooting system‑related issues, and escalating concerns to management when necessary.
While this position does not have direct supervisory responsibilities, it plays a critical role in supporting cross‑functional teams and driving warehouse accuracy, efficiency, and customer satisfaction.
Duties & Responsibilities
Order Processing & Documentation
Wave, allocate, and generate task/shipping paperwork for orders in accordance with customer and warehouse requirements
Execute order modifications (line removals, cancellations, price or shipping method changes) and document changes in the WMS
Order Monitoring & Issue Resolution
Track orders using Shipping Logs and cIMS reports to identify outstanding or exception orders
Investigate and resolve order discrepancies; elevate complex or recurring issues to the Operations Manager
Partner with Sales Order Coordinators to clarify order requirements and fix data issues at source
New Release Oversight
Verify that newly released orders are processed and shipped on time
Escalate missed or delayed orders to management for resolution
Data Analysis & Reporting
Read and validate data from WMS, ERP (e.g., Great Plains), shipping systems, and other operational sources to ensure accuracy and completeness
Analyze operational data to identify trends, bottlenecks, root causes of errors, and opportunities for efficiency improvements (picking accuracy, shipment on‑time performance, inventory discrepancies, throughput); maintain and distribute recurring reports for Operations
Perform ad‑hoc data requests and deep‑dive analyses (e.g., why a SKU has a high short‑pick rate, zone productivity comparisons)
Produce clear, actionable insights and recommendations from analysis and communicate findings to Operations Management – with proposed follow‑up actions
Assist in the development of automated data extracts and scheduled reporting to reduce manual effort and improve timeliness
Systems, Data Integrity & Continuous Improvement
Monitor data integrity between systems (WMS ERP TMS) and coordinate fixes with Operations Management
Troubleshoot WMS issues, create support tickets when required, and follow up to resolution
Document system processes, reporting logic, and data definitions so teams share a single source of truth
Propose process and system improvements driven by quantitative analysis; participate in implementation and change tracking
Skills & Qualifications
High school diploma or equivalent; post‑secondary diploma in supply chain, logistics, business analytics, or related field preferred
2–3 years of relevant work experience in a warehouse/distribution environment with exposure to WMS and Operations
Strong Excel skills (Pivot Tables, VLOOKUP/XLOOKUP, Power Query) and experience preparing operational reports
Strong attention to detail, analytical mindset, and ability to translate data into actionable recommendations
Excellent communication skills (written and verbal) and ability to work cross‑functionally
Ability to work independently, prioritize multiple tasks and adapt to changing operational needs
Experience working with a WMS and the ability to troubleshoot issues
Preferred
Experience working with ERP systems (Great Plains is an asset)
Familiarity with BI tools (Power BI, Tableau, or similar) and experience creating dashboards
Basic scripting or familiarity with tools for data automation (e.g., Python, SSIS)
