As a Warehouse Administrative Assistant
, you’ll be at the heart of daily warehouse operations, partnering with teams across receiving, shipping, inventory, planning, and production to keep information accurate, organized, and up to date. You’ll play a key role in solving problems, creating visibility, and helping the operation run smoothly making this a great opportunity for someone who is detail-oriented, collaborative, and energized by supporting a fast‑paced environment where accuracy truly matters.

What

You’ll Be Accountable For
  • Inventory Excellence:
    Maintain accurate inventory, receiving, and shipping records that support smooth warehouse operations and exceptional customer service.
  • Operational Coordination:
    Ensure inbound, outbound, and production‑related transactions are processed accurately and on time.
  • Problem Solving:
    Investigate inventory, shipment, and system discrepancies and help drive timely resolutions.
  • Production Readiness:
    Support the execution of production schedules by coordinating picklists and ensuring materials are available when needed.
  • Cross‑Functional Partnership:
    Collaborate with warehouse, transportation, customer service, planning, and finance teams to keep information flowing efficiently.
  • Inventory Control:
    Coordinate cycle count activities and support inventory accuracy through verification and reconciliation processes.
  • Compliance & Traceability:
    Maintain organized, audit‑ready documentation that supports quality standards, traceability, and customer requirements.
  • Reporting & Visibility:
    Provide operational and inventory reporting that helps teams make informed decisions and identify opportunities for improvement.
  • Data Integrity:
    Proactively identify errors, inconsistencies, and risks before they impact operations or customer commitments.
  • Continuous Improvement:
    Contribute to a culture of operational excellence through process discipline and a focus on accuracy.
  • Floor Support:
    Stay connected to day‑to‑day warehouse activities by actively supporting receiving, shipping, production, and inventory verification activities.
  • Quality & Safety Leadership:
    Support a safe, compliant, and high‑performing workplace by following all quality, health, safety, and environmental requirements.
What You’ll Bring
  • 1+ years of experience in a warehouse, logistics, distribution, manufacturing, or operations environment.
  • Experience working with Warehouse Management Systems (WMS) and/or ERP systems.
  • Strong attention to detail and a commitment to accuracy.
  • Proven ability to stay organized, manage competing priorities, and follow through on tasks.
  • Strong analytical and problem‑solving skills with the ability to identify and resolve issues.
  • Proficiency with Microsoft Office, including Excel.
  • Effective verbal and written communication skills with the ability to build strong working relationships across teams.
  • A collaborative mindset and willingness to support a dynamic, fast‑paced operation.
  • Familiarity with Lean or continuous improvement principles.
  • Experience with in pharmaceutical, healthcare, food manufacturing, or third‑party logistics (3PL) environments is considered an asset.
  • Exposure to regulated environments, audits, or traceability requirements is considered an asset.
