Job purpose   The Specialist, Utilities & Facilities Maintenance is responsible for ensuring the safe, reliable, and compliant operation, maintenance, and continuous improvement of facility infrastructure, utilities systems, and building equipment. This role supports manufacturing, warehouse, laboratory, and office operations by maintaining utilities and facility assets in accordance with regulatory, safety, environmental, and operational requirements.
The incumbent provides technical expertise in preventive and corrective maintenance programs, contractor management, asset reliability, energy management, and facility improvement projects to ensure uninterrupted operations and regulatory compliance.
Duties and responsibilities   Utilities & Infrastructure Management     Oversee the operation, maintenance, troubleshooting, and continuous improvement of site utility systems including:
HVAC and building automation systems (BAS)
Compressed air systems
Chilled water and heating systems
Boilers and steam distribution systems
Water purification and treatment systems
Electrical distribution systems
Emergency power generation equipment
Monitor utility performance and reliability to ensure operational continuity and efficiency.
Coordinate utility shutdowns, startup activities, and maintenance outages with cross-functional stakeholders.
Maintain system documentation, drawings, SOPs, and preventive maintenance records.
Facilities Maintenance     Manage preventive, predictive, and corrective maintenance activities for building infrastructure and facility equipment.
Ensure facility systems operate safely and efficiently while minimizing downtime.
Coordinate and oversee repairs, renovations, facility upgrades, and capital improvement projects.
Support space management, office modifications, and facility expansion activities.
Conduct routine facility inspections and develop action plans to address deficiencies.
Equipment Reliability & Asset Management     Support maintenance planning and scheduling activities using SAP systems.
Develop and optimize preventive maintenance programs based on asset criticality and reliability data.
Analyze maintenance trends and implement corrective actions to improve equipment performance.
Participate in root cause investigations and reliability improvement initiatives.
Compliance, Safety & GMP Support     Ensure compliance with applicable regulatory, environmental, health and safety, GMP, and company standards.
Support inspections, audits, and regulatory assessments.
Maintain documentation required for maintenance activities, calibrations, qualifications, and asset lifecycle management.
Review and approve maintenance-related SOPs, risk assessments, and change controls.
Promote safe work practices and participate in hazard assessments and incident investigations.
Contractor & Vendor Management     Coordinate external contractors, vendors, and service providers.
Review scopes of work, quotations, and service agreements.
Monitor contractor performance and ensure compliance with site safety procedures.
Verify completion of work and maintain appropriate service records.
Capital Projects & Continuous Improvement     Support capital projects from concept through commissioning and handover.
Participate in equipment installations, modifications, qualifications, and startup activities.
Identify opportunities to improve reliability, sustainability, energy consumption, and operational efficiency.
Support budgeting, forecasting, and cost control initiatives related to maintenance and utilities operations.
Emergency Response     Provide technical support during equipment failures and facility emergencies.
Participate in emergency response activities and after-hours support when required.
Support business continuity and contingency planning efforts.
Additional responsibility (Only applicable to customer facing roles)   Report any adverse event received from customers for company products to the pharmacovigilance department / Drug Safety on the same day or within 1 business day
Qualifications   Education     Diploma or Degree in Mechanical Engineering, Electrical Engineering, Electromechanical Engineering, Facilities Management, Building Systems Engineering, or a related technical field.
Relevant trade certification or professional designation is considered an asset.
Experience     Minimum 5 years of experience in facilities maintenance, utilities operations, manufacturing support, or a regulated industrial environment.
