Role Description

We are hiring an Invoicing Clerk to join our Accounts team at our Brampton head office. You will own the invoicing pipeline for a 500-piece cross-border fleet that does not stop moving — generating customer invoices in Trans Plus, matching them against BOLs and PODs, and making sure every load is billed correctly and on time.

This is not a data-entry job. The person who succeeds here will be a sharp, careful invoicing professional who treats accuracy as a personal standard. Invoicing is what gets Alpha Trans paid. We treat it as one of the most important jobs in the building.

Responsibilities
  • Customer invoicing in Trans Plus — generating invoices, matching against BOLs, PODs, and broker rate confirmations
  • Document tracking via Outlook and Samsara — pulling PODs, signed BOLs, and supporting documents from driver-submitted scans, broker emails, and Samsara-attached files; chasing what is missing
  • Resolving invoicing discrepancies — missing PODs, weight or charge mismatches, accessorial corrections, working with dispatch to close the loop
  • Accounts receivable support — follow-up calls under direction from our AR team, aging review, payment notes
  • Maintaining clean, audit-ready invoicing records in Trans Plus
  • Working alongside our existing Invoicing and Accounts team (AP, AR, Invoicing) to keep the pipeline current

What We Need From You
  • 1+ year of invoicing, billing, AR, or bookkeeping experience. Trucking, freight, or logistics invoicing is a strong advantage.
  • Hands-on with a transportation TMS or accounting platform — Trans Plus, Truck Mate, AS400, Quick Books, Sage, Xero, or similar. We will train on Trans Plus if you have not used it specifically.
  • Comfortable with the documents this industry runs on: BOLs, PODs, rate confirmations, broker setups, customer invoices.
  • Strong Outlook skills — much of our document flow runs through email. Comfort with attachments, email threading, and digital filing is essential.
  • Strong attention to detail — invoicing is unforgiving. A wrong rate, a missed accessorial, or a miskeyed account number costs the company real money.
  • Solid Word and Excel; basic spreadsheet skills (formulas, sorting, simple lookups).
  • Legal authorization to work in Canada (citizen, PR, or valid work permit).

Strong Assets
  • Direct Trans Plus experience — you will get up to speed in days instead of weeks
  • Trucking or logistics invoicing experience — direct exposure to broker rate confirmations and freight billing cycles
  • Familiarity with Samsara or another ELD platform for document retrieval
  • Bilingual English + Punjabi or Hindi — much of our driver and vendor community communicates in Punjabi or Hindi
  • Prior experience in a high-volume back-office invoicing role (freight, distribution, manufacturing)
