Position Type: Full-time Exempt

Compensation: $68,120 - $81,640 (DOE)

Key Responsibilities:
  • Provide comprehensive administrative support to the BGV Executive Team, including managing intricate calendars, scheduling meetings, and coordinating venues.
  • Prepare, draft, proofread, and edit executive correspondence, presentations, reports, and HOA-related materials.
  • Maintain organized files, documentation, and executive records (bios, photos, ARDA memberships).
  • Ensure office supplies, kitchen items, and shared spaces are consistently stocked and presentable.
  • Troubleshoot basic IT issues and provide technical support for meetings and presentations.
  • Plan, organize, and support all logistics for executive meetings, conferences, retreats, and dinners (venue, A/V, catering, virtual platforms).
  • Attend meetings as requested, record minutes, and track action items and deadlines.
  • Support the development and delivery of key executive presentations, including GVS and Results Leadership communications.
  • Assist in the planning and execution of major company events like the annual BGV Leadership Summit and employee engagement activities.
  • Provide project support through research, reporting, and tracking deliverables for special executive initiatives.
  • Develop and maintain positive relationships with vendors, lenders, and external partners.
  • Assist with award nominations, recognition efforts, and executive outreach.
  • Support company culture initiatives, including site visits, celebrations, and volunteer events led by the Executive Team.
  • Meet regularly with executives to assess needs, provide feedback, and identify support opportunities.
  • Coordinate detailed travel arrangements for the Executive Team, as well as for guests, vendors, and charities as requested.
  • Accurately track, process, and submit travel and expense reports in a timely manner.
Requirements
  • Minimum of 3 years of proven experience as an Executive Assistant or in a high-level administrative support role.
  • Exceptional proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Demonstrated expertise in managing complex executive calendars and scheduling.
  • Outstanding written and verbal communication skills, with a keen eye for detail and proofreading.
  • Strong organizational and time-management skills, with the ability to prioritize multiple tasks and deadlines in a fast-paced environment.
  • High degree of professionalism, discretion, and ability to maintain strict confidentiality.
  • Proactive problem-solver with the ability to anticipate needs and work independently with sound judgment.
  • Ability to provide basic IT troubleshooting support for meetings, presentations, and office equipment.
  • Must be able to work in-person at our resort location.
Preferred Qualifications:
