Job Description
The Unit Clerk II supports the unit director in providing administrative and clerical services at a state‑supported living center that serves people with intellectual and developmental disabilities who are medically fragile or have behavioral problems. This role is key to maintaining accurate records, supporting staff, and ensuring smooth day‑to‑day operations to promote a higher level of wellness and independence for residents.
Responsibilities- Provide complex secretarial and clerical support, including typing, filing, and organization of documents.
- Perform reception duties, time‑keeping, maintain office inventory, and coordinate confidential information.
- Assist persons served with training to teach daily living and vocational skills.
- Establish and maintain positive, supportive relationships with employees, residents, and their families.
- Ensure accurate and timely flow of written and verbal communication within and between departments.
- Complete typing of professional reports by assigned deadlines.
- File documents accurately and consistently.
- Perform duties of other clerical staff in their absence.
- Communicate regularly with home managers and supervisors about residents’ clothing and personal items.
- Monitor, maintain, and order supplies for staff and residents; report issues to the Unit Director.
- Facilitate financial transaction processes, including pick‑up and distribution of money.
- Continuously enhance job performance through career growth and development activities.
- Perform special assignments as directed by the Residence Director.
- Track and enter all time‑keeping accurately; approval by Residence Director required.
- Ensure staff benefits such as FMLA paperwork and extended sick requests are processed.
- Maintain file updates for staff records.
- Participate in disaster response, recovery, and COOP activation; may require alternate shift patterns.
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, a rotating schedule, extended shift or overtime in accordance with agency leave policy. Performs other duties as assigned.
Knowledge, Skills, and Abilities (KSAs)Working knowledge of business English, spelling, punctuation, grammar, arithmetic, and modern office practices. Proficiency with word processing and shorthand; ability to accurately type at required speed. Ability to apply departmental rules and procedures to work problems; maintain complex, confidential records. Strong interpersonal skills; dedication to public service, excellence, and positive relationships with coworkers and residents.
Initial Screening CriteriaHigh‑school diploma or GED plus two (2) years of clerical experience.
Additional InformationApplicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks (CANRS, Nurse Aide, Medication Aide, HHS List of Excluded Individuals/Entities). Male applicants aged 18–25 must register with Selective Service. All State Supported Living Center employees are subject to random drug testing. Flexibility in hours, overtime, extended hours, weekends, and holidays may be required. Applicants must be at least 18 years of age.
