Project Coordinator - PMO

As Project Coordinator, you will ensure scheduled services activity is completed to the contractual commitment and expected level of quality. This includes the creation of the project schedule, technician assignments and monitoring, internal and external communication, processing of data and work orders, status reporting, and invoice approvals.
ScopeOperational / smaller‑scale PM and support role for: IMAC activities, small projects, scheduling, reporting, and documentation.
Responsibilities- Supports Project Managers with scheduling, budget tracking, administrative and coordination tasks.
- Understand project scope of work and pricing; create project plan for implementation.
- Collaborate with Routing and Field Managers to create schedule and work orders, obtain technician assignments, and establish pricing.
- Manage smaller projects and/or smaller customers.
- Provide documentation and project overview training to field technicians.
- Ensure required parts are available to field technicians.
- Work with Customer Care Center and Dispatch teams to pre‑schedule technicians.
- Ensure day‑to‑day operations of a project run smoothly.
- Monitor schedule daily for accuracy and timely completion of scheduled activity.
- Manage carryovers with expediency to successful completion.
- Create and provide weekly internal and external status reports; establish communication and escalation plan with the customer.
- Review data provided by field technicians for accuracy and compliance with customer requirements.
- Process work orders as completed.
- Review and approve invoices.
- Manage project issues to full resolution.
- Communicate effectively with the customer and provide timely responses to all inquiries.
- Maintain overall project statistics (success, completion, issues, etc.).
- Forecast project revenue.
- Other duties as assigned.
- Detail‑oriented with strong organizational skills; ability to multi‑task.
- Professional and accurate verbal/written communicator with both customer and internal associates.
- Comfortable taking initiative to ensure project success.
- Identifies and solves inefficiencies.
- Resourceful and effective problem‑solver.
- Ability to gather and analyze project statistical data and create detailed status reports.
- Proficient in Microsoft applications (Outlook, Excel, Word).
High school diploma or equivalent; 2+ years project coordination or project management experience.
