Executive Administrative Assistant
Our client, a global consumer goods brand, is looking for an Executive Administrative Assistant to support the Chief Marketing Officer. This hybrid role (Bridgewater, NJ) is 40 hours per week for 6 months.
Responsibilities- Provide administrative support including scheduling/maintaining calendars, meeting coordination, travel planning and reservations, and processing expense reports.
- Assist with planning regional group meetings, managing attendee lists, booking venues, and handling ad‑hoc requests for copying, printing, editing documents, shipments, filing, and group travel arrangements.
- Draft, edit, and proofread documents such as agreements, memos, correspondence, and presentation materials, and manage editorial changes.
- Manage invoices for advertising and promotional activities, purchase order requisitions, and reconcile PO processes at month end.
- Arrange and coordinate complex travel schedules and itineraries for groups, considering corporate policies, individual preferences, budget and time constraints.
- Act as primary contact for outside vendors, ensuring required documents are up to date.
- Resolve issues regarding technology, corporate expense accounts, budgetary issues, vendor invoicing, purchase orders, and corporate travel itineraries; build relationships with system leads company‑wide.
- Associate or Bachelor’s degree.
- 5+ years of administrative experience; experience supporting C‑level executives is a plus.
- Ability to support multiple teams, manage multiple priorities, and handle a demanding workload.
- Excellent verbal and written communication and presentation skills; ability to interact successfully in a matrix environment.
- Strong customer‑service focus, highly organized, attention to quality and detail, and ability to thrive in a fast‑paced environment.
- Action‑oriented, initiative to lead projects and deliver on schedule.
- Discrete and professional manner with sensitivity to confidential business information.
- Extensive problem‑solving ability.
- Advanced computer skills using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and SAP.
- Knowledge of Concur Online Travel & Expenses is a plus.
