. G4S Facilities Management are recruiting an Administrative Assistant/Onboarding Coordinator on a full time, permanent basis in Bridgwater, Somerset.
This pivotal role provides comprehensive administrative support to G4S Management and Operational teams.
A primary responsibility includes acting as a dedicated point of contact for contract staff, ensuring the efficient resolution of all payroll and personnel inquiries.
Responsibilities- Lead the end-to-end recruitment process, from issuing offer letters and terms & conditions to managing onboarding, screening, and vetting in line with G4S and EDF standards.
- Take ownership of payroll and pension administration, including weekly/monthly Kronos timecard reconciliations and the precise tracking of sickness, holidays, and TOIL.
- Provide high-level administrative assistance to the Senior Management Team (SMT), including minute-taking for key meetings and maintaining accurate central office systems.
- Collate vital statistical information for monthly trading reports and ensure all documentation aligns with the contract Quality Management System (QMS) and the Hinkley Point C Site Operations Agreement.
- Facilitate staff inductions, support annual appraisals, and coordinate employee recognition schemes (e.g., Long Service Awards and Employee of the Month).
- Act as a key point of contact for internal and external enquiries, ensuring duties are performed in compliance with Health & Safety legislation.
- Create Job Advertisements on HPC Jobs Service, attend Recruitment Events for HPC promoting G4S FM, interact with potential new employees, and cover all aspects of recruitment and onboarding including arranging and attending interviews.
- Technical Proficiency: Highly skilled in Microsoft Office (Excel, Word) and Google Workspace for data management, complex reporting, and professional document production.
- Organisational Excellence: Strong methodical approach to workflow management, with the ability to streamline complex administrative tasks and meet tight deadlines.
- Meticulous Attention to Detail: Focus on total accuracy and integrity of data and work products.
- Discretion & Integrity: Commitment to confidentiality and handling of sensitive information.
- Knowledge of Kronos, Workforce and WIMS.
- Experience with Payroll software/systems.
- Basic understanding of HR principles and workflows.
