Position Details

Position will be assigned to the Jail Division. Job duties and responsibilities will be performed under the general supervision of the Records Supervisors in accordance with established policies and procedures. This position requires the ability to perform a variety of complex clerical and communication tasks. Performance of job duties and responsibilities will be reviewed for accuracy and thoroughness.

This is an essential position in a 24/7 environment. Employees must have ability to work rotating shifts to include days, overnights, weekends, and holidays. Shifts are typically 11.25 hours with one day per week at 6.25 hours.

Selection Process

Selected Candidates will be required to complete and pass a written test that is designed to measure customer service orientation, listening/communication skills, information processing and problem solving. Test questions are presented as simulations requiring multi-tasking skills, including interpreting customer account information while communicating effectively. This test is approximately 1 hour and 45 minutes long. The screening process will include the written test and follow with a 15 minute in-person interview with a panel of three individuals.

Candidates will be expected to stay with no interruption for the duration of both phases of the process which may be several hours.

Responsibilities
  • Adhere to policies, procedures, and post orders.
  • Attend required trainings and practice safety/security awareness.
  • Utilize effective interpersonal communication skills (verbal, nonverbal, written, listening)
  • Provide professional customer service.
  • Promote a positive team atmosphere.
  • Operate computer equipment, jail radio, and telephone communication systems.
  • Multi-task and complete tasks accurately.
  • Maintain confidentiality of information.
  • Work extensively in the NCIC/CCIC system and Jail Management System.
  • Respond to a high volume of phone calls.
  • Monitor video visitations as well as building cameras located in the Records areas.
  • Assist citizens with a myriad of inquiries related to but not limited to the following: inmate information, bonding, visits (professional and public), court information, commissary, jail records, inmate property, transportation.
  • Direct citizens to the appropriate department.
  • Assist citizens in-person including but not limited to the following items: process contractors, professional visitors, bond requests, warrant arrests/MITTs/bond revocations, inmate property releases, records releases, receiving medical items for inmates, distributing work release and resource information, transfer of information with the public defender’s office, and walk-in questions.
  • Assist other agencies and agency personnel with various requests and inmate transfers.
  • Assist inmates who have been released with requests and transportation vouchers.
  • Collect records for records requests.
  • Bonding:
    Receive bond requests, complete various bonding paperwork, process bond payments, log all steps in the bonding process.
  • Data Entry:
    Enter data for all inmates booked into the detention facility. Update data for inmates who remain in custody.
  • Inmate files:
    Update all paperwork and electronic files associated with inmate files and file paperwork accordingly.
  • Collect, sort, and respond to various inmate request forms.
  • Respond to Records/Visitation grievances in the grievance system.
  • Adhere to statutory requirements related to records, bonding, and inmate releases.
  • Performs other duties as assigned.
Qualifications
  • Ability to Type 30 WPM
  • Must be able to obtain and maintain CCIC/NCIC certification
  • Must be willing and able to work shifts, including weekends, holidays and nights
  • High School Diploma or equivalent
  • Experience desired including public contact and computer usage
  • Ability to assist and collaborate with a variety of people.
  • Ability to handle numerous tasks at one time and complete each task with accuracy.
  • Ability to apply effective organizational skills.
  • Demonstrate effective and professional oral and written communication skills.
  • Adhere to the confidentiality policy as it applies to this position.
  • Demonstrate reasonable and predictable attendance.
  • Contribute to a positive working environment
  • Work varies hours to include overnights, weekends and holidays
