Overview

Job Title: Cover Coordinator & Attendance Administrator

Actual Annual Salary: £24,711 - £26,640 Based on hours and weeks worked.

Full Time Equal Salary: £28,859 - £31,111 (CLF Grade

C) Based on 37 hours per week, All year round.

Contract Type: Permanent

Hours: Full-time, 37 hours per week, Monday to Friday / Term Time Only Plus INSETS

Additional Information: Working hours are Monday to Thursday, 7:00am - 3:00pm & Friday 7:00am - 2:30pm

We are looking for a Cover Coordinator & Attendance Administrator with excellent organisational skills, strong communication abilities and a calm, professional approach. In this varied and fast-paced role, you will help ensure the academy runs efficiently by coordinating daily staff cover, supporting attendance processes, and contributing to wider administrative functions.

You will work as part of a friendly and supportive team, building positive relationships with colleagues, students, parents, visitors and external agencies. Your ability to remain calm under pressure, prioritise effectively and maintain accurate records will make a meaningful impact on our daily operations.

About

The Role

As our Cover Coordinator & Attendance Administrator, you will:

  • Organise planned and emergency lesson cover, deploying internal and external staff efficiently, effectively and cost-consciously.
  • Receive, record and communicate staff absences in line with academy procedures, ensuring strict confidentiality.
  • Liaise with external supply agencies and ensure safeguarding and compliance checks are correctly completed.
  • Provide guidance and support to cover supervisors and supply teachers to ensure high-quality cover in line with academy expectations.
  • Maintain and circulate the daily cover schedule, ensuring staff have the appropriate resources and documentation (including class lists and cover work).
  • Support attendance administration, working closely with the Attendance Officer to complete tasks accurately and on time.
  • Produce reports, maintain records, complete correspondence, take minutes, input data and support a range of administrative processes across the academy.
  • Use systems including Microsoft Office and Bromcom to input, evaluate and analyse data.
  • Build positive relationships with staff, students, parents, visitors and external agencies, communicating professionally at all times.
  • Support the school office by welcoming visitors, supporting meetings, and contributing to an organised and efficient environment.
  • Assist with first aid duties (training provided).
  • Promote the academys commitment to safeguarding, equality, diversity and inclusion in all aspects of the role.

This is a busy and rewarding role that requires attention to detail, excellent time management, and the ability to adapt as priorities change.

About You

You will bring:

  • Good literacy and numeracy skills, with at least 5 GCSEs including English and Maths (or equivalent).
  • Experience of working in a busy administrative environment; experience in a school is desirable.
  • Strong communication skills and the ability to build effective relationships with colleagues, students and external stakeholders.
  • Excellent organisational skills, with the ability to manage competing priorities and work calmly under pressure.
  • Confident IT skills, including Microsoft Office; knowledge of Bromcom is desirable.
  • The ability to handle sensitive and confidential information discreetly.
  • A calm, patient and diplomatic approach when dealing with staff, students, parents or challenging situations.
  • A positive, proactive and professional attitude, with a commitment to supporting young people.
  • A clear commitment to safeguarding, equality, diversity and inclusion.
