Overview

ICU Receptionist - Band 2

An exciting opportunity has arisen for a self-motivated, enthusiastic individual to join our Reception team on the Intensive Care Unit. The post will involve working on a busy reception desk, admitting and discharging patients, helping relatives and supporting clinical staff in the day-to-day running of the Unit. A major part of this role will be welcoming visitors to the department.

We are looking for an individual with excellent communication skills, both face to face and on the telephone. Computer skills and knowledge of using Excel spreadsheets are also required. The ability to deal with varied administrative duties and changing priorities is essential.

This post is full time and requires flexibility to cover the Reception area between 08:00 and 20:00, Monday - Friday, and Saturdays/Sundays to accommodate the needs of the service, with the ability to provide cover for colleagues. Main duties of the job
  • Receive visitors to the unit in a polite and friendly manner.
  • Ensure that relevant Unit, Trust and NHS information is readily available for relatives.
  • Perform routine clerical duties involved in the admission, transfer and discharge of patients, including filing, tracing and maintaining notes, x-rays, investigation reports, blood transfusion cards, or other records.
  • Answer the telephone in a friendly, courteous manner with due regard for patient confidentiality; forward necessary information promptly to the relevant personnel.
  • Ensure that all patients are admitted, transferred and discharged in a timely manner.
  • Receive, sort, distribute and redirect mail to patients and staff.
  • Complete non-stock requisitions as necessary.
  • Use photocopier and fax machines; update demographic patient information on the computer as directed by nursing staff.
  • Be aware of financial restraints on ordering of supplies and services.
  • Collect and deliver to other wards and departments as instructed.
  • Ensure that notes are sent to coding immediately following discharge.
  • Process donations to the Unit in accordance with Trust policies.
  • Undertake correspondence as directed by the Senior Nursing Team.
  • Undertake appropriate clerical and administrative training to maintain required skills and competencies.
  • Keep up to date with changes in Trust policies and documentation.

Essential criteria

  • Educated to O level/CSE/GCSE standard for Grade C and above in Maths and English
Work Experience

Essential criteria

  • Previous Receptionist / General office / Administration role

Desirable criteria

  • Previous NHS experience
Knowledge/Skills/Abilities

Essential criteria

  • Good written communication skills – ability to send and receive emails and ensure documentation is recorded accurately
  • Good verbal communication skills – ability to disseminate information to junior and senior staff
  • Ability to work well within a multi-disciplinary team
  • Ability to deal with distressing situations
  • Ability to use office equipment (e.g., photocopier, fax machine)
