The Chemotherapy Booking Coordinator role is an essential element of the Administration Team working in the Myrtle Road Offices of the Bristol Haematology and Oncology Centre. The team deals with a wide range of enquiries and the Coordinator will link in with the clerical officers, clinic coordinators, medical secretaries, nurse specialist support team and MDT coordinators. The Coordinator is office‑based, manages chemotherapy slots for various sites and speaks with patients over the phone.
Time management and workload priority are essential to the role.
We are looking for someone enthusiastic, who enjoys working in a busy team, can trouble‑shoot problems, find solutions, has excellent communication skills and a drive to provide excellent customer service. The successful applicant will work within the Chemotherapy Booking Team, providing an efficient and effective administrative service, coordinating all aspects of patient treatment, pre‑assessment appointments, chemotherapy schedules and supportive care such as blood tests and line care.
They will also manage inboxes and liaise with the clinical teams for queries.
- Act as a point of contact for queries from clinical and non‑clinical staff.
- Escalate patient queries, capacity problems and general issues to the line manager or relevant clinical staff as appropriate.
- Monitor, manage and validate active and backlog waiting‑list data.
- Manage patient communications via telephone and use Trust systems to create letters, emails, and text reminders.
- Implement policy and investigate patients who do not attend (DNA) their appointment.
- Initiate appropriate action to address issues to ensure patients do not breach maximum waiting times and are given reasonable notice and choice of admission date in line with the PAP.
- Attend appropriate meetings as required by the line manager.
