Job Summary
At our Filton site in Bristol, we specialise in the design and manufacture of large complex structural wing assemblies, detailed metallic components and wing systems for civil and military aircraft. We are seeking a new Team Administrator to provide administrative and secretarial support to the Head of Business and the senior Wing Assembly team. This is a busy and varied role that requires excellent administration and organisational skills.
How You'll Contribute- Provide general secretarial and administrative work for managers: typing, report typing, minutes, presentations, diary maintenance via Outlook, customer/visitor facilitation, circulating information, organising meetings and workshops, facilitation of conference room booking, maintain filing systems, travel booking, order of stationery in Buyside, preparation for management meetings, holiday management.
- Select relevant information that keeps the manager up-to-date while he is out of the office without burdening him with unnecessary paperwork. Deal with as much correspondence as possible, completing responses, liaising with relevant people involved or moving matters forward.
- Maintain smooth running of the office at all times, especially during the manager's absence.
- Support general administrative assistance to team members.
- Process and record expenses for the managers and team, assisting other members as required.
- Monitor general absence (sickness, clockings).
- Liaise with HR and appropriate managers for subcontract recruitment.
- Be responsible for communication KPIs and updating the KPI board.
- Be responsible for administration of the skills matrix, liaising with managers as appropriate.
- React positively and quickly to all tasks, ensuring appropriate responses to all calls and correspondence.
Essential skills, experience, qualifications and attributes:
- Excellent administration skills, including proficiency in Outlook, Word, PowerPoint & Excel.
