Job Summary
At our Filton site in Bristol, we specialise in the design and manufacture of large complex structural wing assemblies, detailed metallic components and wing systems for both civil and military aircraft. We are seeking a new Team Administrator to provide administrative and secretarial support to the Head of Business and the senior Wing Assembly team. This is a busy and varied role perfect for someone with excellent administration and organisational skills who enjoys keeping all the plates spinning.
HowYou'll Contribute
The Team Administrator will provide general secretarial and administrative support, including:
- Typing, report preparation, minutes and presentation support; diary maintenance via Outlook; customer and visitor facilitation; circulating information to relevant team members; organising meetings and workshops; conference room booking; maintaining filing systems; travel booking; ordering stationery; preparation for management meetings; holiday management.
- Selecting relevant information to keep the manager up-to-date while he is out of the office and dealing with correspondence efficiently—completing appropriate responses, liaising with involved parties, and moving matters forward.
- Maintaining the smooth running of the office, especially during the manager’s absence.
- Providing general administrative assistance to team members.
- Processing expenses for managers and other team members, maintaining expense records, and assisting teammates with expenses as required.
- Monitoring general absences such as sickness and clockings.
- Liaising with HR and appropriate managers for subcontract recruitment.
- Managing communication KPIs and updating the KPI board.
- Administering the skills matrix and liaising with managers as appropriate.
- Responding positively and quickly to tasks, even when work is routine, ensuring an appropriate response to all calls and correspondence.
Excellent administration skills, including effective use of IT programmes such as Outlook, Word, PowerPoint and Excel.
