Job Responsibilities- Serve as the first point of contact, face to face and by phone, for service users, visitors and staff.
- Provide general front‑office support, including greeting, answering telephone calls and booking rooms for staff via bespoke systems.
- Liaise with a wide range of stakeholders (medical staff, multidisciplinary teams, service users and carers, health and social care teams, third sector agencies, community groups, local authorities and statutory agencies such as Police and the Ministry of Justice); provide secretarial support to named medical staff and management.
- Use written and verbal communication skills to manage enquiries, exchange information with patients, staff and carers, and provide routine and complex information when required.
- Maintain and update patient notes, collate information for transfer of care and handle sensitive information with care.
- Facilitate administrative processes for team meetings, including opening and distributing mail (paper and electronic), ensuring high‑priority items are acted upon promptly.
- Manage telephone and face‑to‑face contacts with distressed service users in a supportive and empathetic manner, exercising judgement to resolve non‑clinical problems and resolve diary conflicts.
- Escalate issues to the Area Site Coordinator as appropriate and arrange meetings and appointments for the team, negotiating diary conflicts and competing priorities.
- Input accurate and up‑to‑date patient data into the RiO system.
- Order stationery and other necessary items for the team via the procurement system and support the induction of new staff members.
- Produce confidential correspondence, reports and maintain an efficient electronic filing system, internet, intranet and patient records.
- Perform clerical duties including photocopying, scanning and undertaking surveys or audits to support service development and standards.
- Provide cover for colleagues when and where necessary, plan and prioritise workload to meet weekly, monthly, quarterly and annual tasks, and respond to shifting priorities.
- Excellent communication skills.
- Competent in MS Excel, Word, Outlook and internet use.
- Experience of general office and administrative procedures.
- Experience of working in a team.
- Previous reception experience.
- Ability to organise and prioritise own workload.
- Mental Health/NHS experience.
