About this jobFixed term until 1st January 2027. The Reception and Appointment Clerk works in an office‑based role, booking appointments and managing our telephone systems. The team deals with a wide range of enquiries and works closely with the Treatment Bookings team, Clinic Co‑Coordinators, Medical Secretaries and the Nurse Specialist Support Team.

Responsibilities- Book appointments and manage telephone systems.
- Liaise with patients, wards, clinical staff, GPs and Trust support staff via phone, email and in person.
- Ensure patient information (address, telephone numbers, GP details, Next of Kin details) is correct and attendance recorded on Medway/Mosaiq.
- Communicate effectively, promptly and accurately, demonstrating discretion and tact in written, telephone and face‑to‑face contact with patients, visitors, other Trust staff and external agencies.
- Escalate patient queries, capacity problems and general issues to the line manager or relevant clinical staff as appropriate.
- Provide appropriate and timely information to all visitors and telephone callers in accordance with the Data Protection Act and hospital/department guidelines.
- Serve as a point of contact for “Outpatient” and “Treatment Bookings” telephone calls into the department.
- Liaise with nursing and medical staff to ensure that planned day unit sessions run to time, have all relevant patient notes prior to attending, and that patient notes are prepared with necessary paperwork and labels.
- Collaborate with other admin teams such as the Treatment Bookings team, Clinic Co‑Coordinators, Medical Secretaries and the Nurse Specialist Support Team.
- Provide a frontline welcome, support, information and signposting to patients being treated and living with a cancer diagnosis, as well as patients who have non‑malignant blood conditions.
