Radiotherapy Admissions Coordinator

Closing date: 23 June 2026

Join our Radiotherapy Admissions Coordination Team at the Bristol Haematology and Oncology Centre within University Hospitals Bristol and Weston NHS Foundation Trust. You will support patients, clinicians and staff in a fast‑paced environment by managing administrative tasks, booking appointments and serving as the main point of contact for patients accessing the service.

Main duties
  • Support triage of referrals by liaising with key clinical staff.
  • Manage all patient communications via telephone and Trust systems, creating letters, emails and text reminders.
  • Act as the primary contact for queries from clinical and non‑clinical staff and liaise across teams by telephone and email.
  • Escalate patient queries, capacity issues and general concerns to the manager.
  • Communicate changes to clinic schedules and appointments to patients, often at short notice.
  • Show a caring and professional approach toward patients, relatives and carers; handle distressed individuals with resilience.
  • Monitor outstanding appointment requests in the Patient Administration System (PAS), escalating issues immediately.
  • Ensure clinic lists are utilised effectively, rebooking any cancelled slots.
  • Attend meetings required by your line manager.
Qualifications and Training
  • GCSE, grade C or above (or equivalent) in English Language and Maths.
  • Business and Administration Level 3 NVQ or equivalent experience.
  • Respecting Everyone, Recognising Success, Working Together values.
Knowledge and Experience
  • Clerical/administrative experience including filing and reception.
  • Experience engaging the public on telephone and in person.
  • Previous NHS experience.
  • Familiarity with a Patient Administration System.
Skills and Abilities
  • Effective and polite communication skills for face‑to‑face and telephone interactions.
  • Ability to work under pressure, meet deadlines and maintain accuracy.
  • Teamwork, adaptability, and motivation of others.
  • Independent working with initiative.
  • Confidence in handling difficult conversations with patients, relatives and carers.
  • Organisational and IT skills (Microsoft Office).
  • Knowledge of outpatient policies and procedures.
