Owen Reed is looking for Facilities Assistants for a top law firm in Bristol.
Working Arrangement: Full-time, office-based (with occasional travel to other offices).
The OpportunityAn excellent opportunity has arisen for two Facilities Assistants to join a leading law firm in Bristol. These Facilities Assistant roles are key operational positions responsible for ensuring the smooth day-to-day running of facilities services across the Bristol office and supporting wider office locations when required.
As a Facilities Assistant, you will play a hands-on role supporting mailroom operations, reprographics, stationery management, health & safety processes, maintenance coordination and general office support. These Facilities Assistant positions are ideal for proactive, service-focused individuals who enjoy a varied and practical role within a fast-paced professional environment.
Key Responsibilities Facilities & Office Support- Cover daily mailroom duties as a Facilities Assistant.
- Provide reprographics support across all departments.
- Assist internal clients with stationery and general office requests.
- Manage storerooms, kitchen areas and recycling processes.
- Maintain high standards of cleanliness and office presentation across the Bristol office.
- Report and monitor breakdowns, faults and maintenance issues.
- Arrange repairs and liaise with external contractors where required.
- Carry out basic reactive and preventative maintenance tasks.
- Support office moves, desk changes and workspace reconfigurations.
- Order stationery, consumables and office supplies.
- Support procurement of goods and services across offices.
- Assist in sourcing and setting up supplier arrangements.
- Monitor stock levels and ensure timely replenishment.
- Support the Facilities Supervisor with health & safety requirements.
- Carry out new starter inductions and maintain accurate records.
- Ensure compliance with office health & safety procedures.
- Assist with workplace audits and safety checks.
- Assist with storage, maintenance and archiving of deeds, wills and probate files.
- Use computerised systems to accurately manage and track records.
- Provide cover and support across other offices when required.
- Travel to other office locations as needed to support operational needs.
The successful Facilities Assistant will have:
- Previous experience in facilities, office support or customer service.
- Strong organisational and prioritisation skills.
- Good working knowledge of Microsoft Office (Word, Excel).
- Ability to work in a busy, multi-tasking environment.
- Strong communication and customer service skills.
- A proactive, reliable and hands-on approach.
- Experience in a legal or professional services environment (desirable).
- Minimum 5 GCSEs including English and Maths.
