Receptionist

We are looking for a receptionist to join our fantastic team.

The successful candidate will be welcoming patients and their families/carers, assist with check‑in, maintain patient records, support nurses and medical staff with administrative tasks, answer the phone, and liaise with other areas for clerical needs.

The post holder must provide a courteous, efficient, and professional service, supporting patient care. First contact point for all visitors and staff, so good interpersonal skills are essential.

We are looking for a well‑organised, enthusiastic individual to work in a fast‑paced environment within our dynamic team, with a good working knowledge of IT to help ensure our trust care values are met and care is delivered to the highest standard.

You must apply a methodical approach to a varying workload, be self‑motivated, have excellent communication/interpersonal skills and be able to work on your own as well as part of a busy, deadline‑driven team.

Main duties of the job
  • Act as the focal point of administrative communications for outpatients, taking all telephone enquiries and acting as initial point of contact for routine callers.
  • Ensure all callers and visitors are attended to courteously and promptly.
  • Enter patient data onto PAS or assist with the self‑check‑in kiosk.
  • Trace patient notes and organise them in a methodical manner, including printing patient front sheets, labels, and filling if needed.
  • Ensure patient notes are sent for coding/scanning in a timely manner and all activity is recorded on the computer system.
  • Deal with incoming and outgoing post in a timely manner and ensure incoming post is distributed as required.
  • Complete daily cash‑up of clinics.
  • Be on the rota to work off‑site at our Bristol diagnostic hub.

Person Specification Knowledge and Experience
  • Previous experience in customer service
  • Clerical/administration experience including filing and/or reception
  • Previous NHS experience

  • Excellent/professional telephone/ reception manner
  • Flexible approach to duties
  • Able to work under pressure and meet deadlines whilst maintaining a high standard of accuracy
  • Able to communicate clearly and act quickly in emergency
  • Good IT skills including Microsoft packages
  • Tidy and methodical working practice
  • Ability to work effectively in a busy team, adjust to change and motivate others
  • Ability to work independently and as part of a team
  • Confidence to handle difficult conversations with patients, relatives and carers
  • Previous NHS experience
Qualifications and Training
  • Educated to GCSE, grade C or above (or equivalent) in English Language and Maths
  • IT literate to include basic Microsoft Office
