Job Overview
The post holder will support the Network Manager, Clinical Director and other Network Leads with activities that achieve the aims and objectives of the Severn Major Trauma Operational Delivery Network (ODN). The role is fast-paced and dynamic, requiring coordination and administrative support in a challenging clinical environment. You will manage multiple tasks, prioritise to meet deadlines and develop expert knowledge of the systems and processes involved.
The post holder will co-ordinate all meetings for the Severn Trauma Network (e.g., Network Executive Board and Network Advisory Group) and other events, and support the administration of the Network’s core business function.
Provide efficient and timely administrative support to the Severn Major Trauma Network team, including the following roles:
Clinical Director, Clinical Governance Lead, Rehabilitation Director, Lead Nurse / AHP, Severn Trauma Manager (Network / MTC), Training and Education Lead.
Specific responsibilities include
- Organise, plan and support a broad range of tasks; work closely with the Severn Trauma Manager on projects to improve the patient care pathway.
- Prepare reports including data, diagrams and graphs.
- Ensure smooth administration of the Network office, including drafting and typing letters and reports.
- Coordinate Network Trauma meetings (e.g., Network Executive Board, Network Advisory Group, Rehabilitation Advisory Group, Network Frailty Group) and other established groups.
- Prepare papers for meetings, issue agendas and minutes, and follow up on actions.
- Take minutes and manage action trackers; upload minutes to the website and support delegated tasks.
- Prepare materials, slides and presentations using software including spreadsheets; attend meetings and take minutes.
- Organise workshops, events and meetings (booking rooms, catering, equipment) and liaise with presenters.
- Maintain Network Logs/Registers (Training, Risk, Governance Issues, Policies and Change Control) and update information leaflets, website content and newsletters.
- Participate in interdisciplinary discussions and relay good practices and areas for improvement to relevant groups.
- Undertake general office duties (stationery, course bookings, travel, accommodation) and work with initiative while aligning with Network aims.
- Support work stream leads in project development and improvement tasks; be dynamic and responsive to changing priorities.
- Place and receipt orders; manage invoices with Trust finance colleagues within Network budget.
- Request information for Trauma Audit & Research Network (TARN) reporting and benchmarking; promote trauma audit and ensure quality data.
- Manipulate Network data to produce regular reports with data, charts and graphs; ensure board-level quality narratives for deviations and variations.
- Collate TARN reports from member Trusts into one Network-wide report; liaise with TARN for special reports and data capture for research.
- Coordinate data collection and analysis for audit; demonstrate effective use of IT systems (Microsoft PowerPoint, Word, Excel, bespoke clinical systems, CMS, purchasing and invoicing systems).
- Maintain the Network Governance Issues register and monitor case statuses; ensure timely responses to governance issues.
- Support redesign of trauma documentation and Network documentation; administer Governance Meetings (MS Teams, teleconference, videoconferencing) with notes, actions and attendance records.
- Assist with information required for National Peer Review processes and visits.
- Act as a contact point for the Network team; communicate with patients, families, clinicians, providers, charities, commissioners and other agencies by various channels.
- Respond to enquiries professionally and maintain a positive image; establish and maintain distribution lists; ensure effective electronic communications across the Network, including newsletters and website content;
- Maintain up-to-date network website content, including services, policies, SOPs, and patient information; support Network communications and engagement activities with patients as needed.
