About this job

This is an administrative post within the Neuropsychiatry service at North Bristol NHS Trust to work alongside the Functional Neurological Disease (FND) service.

To provide a high quality and comprehensive administrative and clerical support to the FND service multi-disciplinary team.

Key Co-ordinator and administrator, providing outpatient support to the Neuropsychiatry team.

Ensuring outpatient appointments are made/cancelled in accordance with the Government Access Targets and the Trust’s Patient Access Policy.

Contacting and responding to patient queries in a professional courteous and timely manner.

Providing clerical support for the service as required.

You will be required to liaise with all staff in the department, including consultants, junior doctors, occupational therapists, administrative staff, and colleagues from other departments including Neurology, as well as external providers.

The post holder will exercise initiative, independent judgement and decision‑making with situations arising from the duties described below to ensure an effective, high‑quality service.

Due to the expansion of the FND service and growth of our clinical team, there will be an expectation on the successful candidate to support this development and ensure sufficient admin support to provide secretarial support for the efficient operation of the FND Service.

To act as a contact point, liaising between patients, medical and nursing staff and other internal and external organisations.

To receive, sort and prioritise daily correspondence for clinicians as required, resolving as appropriate and ensuring all clinical reports/requests are brought to the attention of the relevant clinician to enable appropriate action to be taken.

To receive and act upon telephone calls and face‑to‑face enquiries from patients, relatives and staff giving advice and information in a prompt, helpful and professional manner.

Provide Booking Service for Neuropsychiatry using the Trust’s computerised system Careflow in accordance with the Trust’s Patient Access Policy.

To manage FND waiting lists and non‑consultant referrals.

Able to use (or be prepared to learn) the in-house Patient Administration System and other hospital IT systems. Work together as an effective team worker, providing cover for colleagues in times of absence / annual leave as requested by line manager.

Undertake photocopying, filing and other general administration duties such as monitoring stationary supplies to ensure the efficient running of the office.

Willingness to undertake further training and development.

Such other reasonable duties, appropriate to a Band 3, as agreed between the post holder and manager from time to time.
