Responsibilities and Duties
  • Supports the VPSSEM; support includes but is not limited to managing calendars, assisting with travel arrangements and reimbursements; taking and distributing accurate minutes of meetings, updating student records, and managing purchase requisitions and work orders.
  • Provides administrative support to the Executive Director of Enrollment Services (EDES) and the Director of Student Rights and Responsibilities (DSRR), as assigned.
  • Manages VPSSEM and divisional email inboxes, phone lines, and mail.
  • Serves as frontline/front-facing team member for VPSSEM, EDES, and DSRR; provides customer service to internal and external partners and refers students to appropriate college offices/resources.
  • Assists with the coordination of special events, meetings, and trainings, including but not limited to open houses, campus showcases, divisional meetings, and College Commencement; duties include facilitating planning meetings, serving as a primary point of contact for vendors, and preparing and submitting facilities/media reservations, food services requisitions, and vendor requisitions.
  • Assists in the oversight and management of the SSEM divisional budget; regularly collects, analyzes, and reports divisional budget data.
  • Assists with the student appeal and grievance processes, including providing students with information about those processes; providing status updates, upon request; screening submissions; developing and maintaining files, records, and databases; and creating and assigning cases in Maxient.
  • Coordinates the faculty notification process for student absences, youth learners, and chosen name requests.
  • Exercises discretion in handling confidential information; understands FERPA and ensures release forms are on file prior to sharing FERPA-protected information.
  • Collects divisional data and prepares divisional reports, as requested.
  • Attends professional development, college meetings, and division meetings, as appropriate.
  • Serves on and provides administrative support to the college's Commencement Committee.
  • Performs other duties as assigned.
Job Requirements
  • Bachelor's degree or higher.
  • Five (5) or more full-time years' relevant experience.
  • Demonstrated experience working with, tracking, and/or managing budgets.
  • Demonstrated experience providing front-facing customer service.
  • Demonstrated experience managing tasks and/or projects.
  • Demonstrated strong communication skills.
Preferred Qualifications
  • Demonstrated experience managing multiple projects and/or tasks simultaneously.
  • Demonstrated experience working with the technology platforms Microsoft Outlook, Banner, and/or Maxient.
  • Demonstrated experience building collaborative relationships.
  • Demonstrated experience working with diverse populations.
Additional Information
  • Position Status: Non-Unit Professional, Full-Time State Funded with Benefits.
  • Hours: 37.5 per week In-Person Position
    :
    This role requires on-site work and does not offer telework opportunities.
  • Salary: $65,675.00 - $82,094.00 annually.
