The Client Services Coordinator serves as a primary point of contact for individuals and families seeking emergency financial assistance through Broken Arrow Neighbors. This role is responsible for guiding clients through the intake and assistance process with empathy, professionalism, and integrity, while also ensuring accurate documentation, fiscal accountability, and compliance with organizational policies.

This position requires a balance of compassion and clarity, supporting individuals during moments of crisis while maintaining firm, consistent program guidelines. Overview

This position is focused on delivering emergency financial assistance and coordinating support services in a nonprofit setting, with emphasis on client intake, eligibility determination, and program administration in alignment with organizational policies.

Key Responsibilities
  • Serve as a frontline point of contact for individuals seeking emergency financial assistance.
  • Conduct intake interviews with empathy, professionalism, and clear communication of program expectations and requirements.
  • Collect, review, and verify all required documentation to determine eligibility for assistance.
  • Communicate decisions respectfully and clearly, maintaining dignity and compassion in every interaction.
  • Navigate difficult or emotionally charged situations with professionalism, patience, and boundaries.
  • Evaluate assistance requests in accordance with established program guidelines, funding availability, and budgetary limitations.
  • Prepare, document, and process approved payments accurately and in a timely manner.
  • Work closely with the Financial Administrator to ensure proper approvals, documentation, and reconciliation of payments.
  • Maintain strict confidentiality and adherence to organizational policies and procedures.
  • Accurately enter and maintain client records, financial documentation, and service data.
  • Track assistance outcomes, trends, and usage to support reporting and funding requirements.
  • Support audits, internal reviews, and data requests with organized, thorough documentation.
  • Utilize spreadsheets and internal databases to ensure accuracy and accountability.
  • Support food pantry operations, community distributions, and special events as needed, including holiday programs and large-scale service days.
  • Assist with basic operational needs during high-volume periods to ensure smooth service delivery.
  • Occasionally drive organizational vehicles for deliveries or event support (valid driver’s license required).
  • Collaborate with staff and volunteers to ensure a seamless, respectful client experience.
Qualifications
  • Associate’s degree required;
    Bachelor’s degree preferred (social services, human services, nonprofit management, or related field).
  • Experience in client services, social services, nonprofit work, or a related field strongly preferred.
  • Strong organizational, documentation, and data management skills.
  • High level of emotional intelligence and ability to maintain boundaries in emotionally demanding situations.
  • Excellent written and verbal communication skills.
  • Proficiency with basic technology, spreadsheets, and database systems.
  • Ability to manage multiple priorities while maintaining attention to detail.
