Office Administrator/ Coordinator, Clerical
St. Luke Parish, Brookfield, a welcoming community of approximately 500 households, is seeking a full-time Administrative Assistant. This position is responsible for resonating the tone and culture of the parish while interacting with others in-person, on the phone and in written communication. Provides office support with a variety of administrative and clerical activities and tasks.
Duties and Responsibilities- Greet people at door/phones:
Answer/direct incoming calls/emails - Provide a professional, pleasant, and organized office atmosphere for diverse internal and external customers and visitors.
- Professional working attitude and collaborative approach with a positive attitude.
- Strong written and verbal communications skills.
- Exhibits promptness, flexibility, and dependability.
- Ability to work with and without direct supervision.
- Ability to multitask, prioritize and organize.
- Ability to maintain confidentiality.
- Exhibit patience and calmness in chaotic situations.
- Oversee and participate in bulletin and other communication productions.
- Background clerical work, including typing and filing, for parish events, as needed.
- Changes messages on parish signage and phone system.
- Receives, sorts, and forwards incoming mail.
- Orders, stocks and distributes office supplies.
- Assists with other related clerical duties such as photocopying, faxing, filing and collating.
- Proofreading and editing materials as requested.
- Maintains facility calendar.
- Enters new parishioner data and updates existing parishioner data into parish census program, and electronically transmit information to envelop service vendor.
- Oversees posting of parishioner contributions and prepares contribution statements.
- Schedules Mass intentions.
- Communicate with IT Company Troubleshoot office IT/Copier and other equipment issues
- Completion of Archdiocesan and/or government reports.
- Documents and manages facilities keys. Serves as liaison to school tenant with Pastor
- Participate in the parish goals and objectives as they relate to hospitality.
- Maintains orderly files and a clean, organized office space.
- Special projects based on the cycle of the parish.
- Archdiocesan sponsored respective training/workshops.
- Other duties as assigned.
- High school degree or equivalent.
- Comprehensive knowledge and application of grammar, spelling, and punctuation.
- One to three years office or customer service experience required.
- Working knowledge in MS Office products and office equipment.
- Must have a valid driver’s license for the State of Wisconsin.
- English required (Bilingual welcome)
- Active participant in the work of the Catholic Church, preferred.
Full time, Mon-Fri with some evening hours required. Salary commensurate to education; experience and ability. Fulltime with generous benefits.
