Overview

The Medical Records Associate is responsible for managing, maintaining, and ensuring the accuracy, confidentiality, and accessibility of patient medical records. This includes organizing and analyzing patient medical records, ensuring all documentation complies with legal and regulatory standards, safeguarding the confidentiality and security of patient information, and collaborating with healthcare providers while adhering to hospital policies. Your work will directly support quality care, billing accuracy, and regulatory compliance.

What

You’ll Do
  • Create, review, organize, index, file, and maintain accurate patient health records in both electronic and paper environments.
  • Receive, process & determine validity of requests for patient health information in accordance with hospital, state, and federal guidelines.
  • Retrieve electronic communication, faxes; open & process postal mail.
  • Scan medical record documentation & correspondence into the EMR.
  • Answer calls to the Medical Records Department and respond to voice messages in a timely fashion.
  • Process legal court commitment petitions and emergency hearings.
  • Document paper chart delivery and track steps through chart analysis, deficiency notification, and paper chart completion.
  • Assemble, analyze & tag patient healthcare records (both paper and electronic) for chart deficiencies.
  • Update staff deficiency lists and notify staff accordingly.
  • Pull patient healthcare records as requested to assist with identified deficiencies, audits, accreditation surveys, and compliance activities.
  • Effectively manage time and workflow by prioritizing tasks, staying organized, and meeting deadlines.
  • Demonstrate the ability to handle multiple responsibilities simultaneously while maintaining attention to detail and quality of work.
Qualifications
  • Associate’s or Bachelor’s degree in Health Information Management or related field, RHIA or RHIT preferred. Commensurate experience will be considered.
  • 2+ years medical records experience, ideally in an inpatient psychiatric hospital setting.
  • Technical ability to navigate, import/export records in an electronic medical records environment, use of email, phones, fax, copiers, MS Office (especially Excel), and other business applications.
  • Ability to prioritize multiple tasks and respond to requests in a fast-paced environment.
  • Detail-oriented, excellent communication & follow-through, technically savvy and strong analytical skills.
