Accounts Receivable Specialist

Description

We are looking for an Accounts Receivable Specialist to join a construcion company in Brooklyn, New York. This position is ideal for someone who can manage high-volume billing and receivables activity with accuracy, strong follow-through, and clear communication across project and finance teams. The role supports the full monthly invoicing cycle, account updates, and collections efforts while helping maintain organized records and audit readiness.

Responsibilities:

- Manage the complete monthly billing cycle, including preparing invoices, coordinating required notarization, and securing final approval before submission.

- Maintain and update receivables records for a large client portfolio, ensuring account details and tracking spreadsheets remain accurate and current.

- Handle construction-related billing activities such as processing change order documentation and supporting contract-based invoicing needs.

- Follow up with subcontractors and other stakeholders to obtain lien waiver documentation in a timely manner.

- Partner with project managers to gather billing details, resolve discrepancies, and provide reporting support tied to project activity.

- Apply incoming payments, monitor outstanding balances, and carry out commercial collections efforts to improve account resolution.

- Assist with audit preparation by organizing receivable documentation and responding to requests for supporting records.

Requirements

- At least 2 years of experience in accounts receivable, billing, or a related accounting support role.

- Hands-on background in commercial collections, cash application, and account reconciliation activities.

- Experience with construction accounting or construction-related invoicing is strongly preferred.

- Familiarity with Sage 300 is an advantage.

- Ability to manage a high volume of client accounts while maintaining strong attention to detail and accuracy.

- Comfortable using Excel and VLOOKUP required

- Strong organizational skills and the ability to prioritize deadlines in a fast-paced environment.
